HR Operations (HRDSO), which is part of HR Employment Policy, Compensation and Systems, currently operates in Washington, DC, and Chennai, India.ย ย
HRDSO provides centralized HR shared services to the World Bank Group and is an integral component of streamlined HR service delivery to its client base, which includes managers, staff, dependents, and retirees.ย To this end, the Operations Team is continually seeking to improve the way HR Services are delivered to clients.ย These services include being the front line for providing consultation on HR policies and procedures via telephone, email, or virtual consultations, as well as administration of HR transactions.ย The team collaborates closely with other key partners, including Payroll, Tax, Global Mobility, Information Technology, and the wider HR community.ย ย
To ensure the efficient operation and optimization of HR Systems landscaped and related end users tools/technology, HR Technology team mandates with the following work program.
HR Data Management & Technology Support Team is responsible for providing advanced support for HR systems, assisting end-users with escalated issues, and ensuring smooth operation of HR systems. This role involves diagnosing and troubleshooting technical issues, collaborating with internal teams, and helping to improve system functionality.
With the rise of SaaS products, cloud solutions and the increasing number of end-users tools and in the context of HR technology, this team provides the first point of contact for employees or HR staff who are facing issues with HR systems.
The Senior HR Assistant, reports to Program Manager, HR Data Management & Technology in HR Operations, and will and join a team of HR technology and data management professionals. The team collaborates across departments to ensure efficient data management, enhance HR systems through configurations, enhancements and, and support continuous process improvements while maintaining data privacy and compliance.
DUTIES AND RESPONSIBILITIES:
The position will have the following duties and accountabilities:
โข Act as the first point of contact for HR Technology inquiries, providing Tier 1 support and resolving Tier 2 incidents.
โข Coordinate release activities, including testing scenarios, reviewing test cases, and documenting results for system enhancements.
โข Assist in pre-rollout activities, including change and communication management, to ensure smooth transitions for new systems or enhancements.
โข Leverage knowledge in HR Core areas, that includes Workforce Administration, Benefits , Recruitment, Talent, and Performance Management etc to troubleshoot and resolve issues.
โข Regularly monitor workflow to ensure timely responsiveness to staff inquiries and to facilitate operational achievement of SLAโs and KPIโs.
โข Provide general support towards continuous improvement initiatives as needed:
โข Supports projects in Data Management space.
โข Exercise a high level of integrity, confidentiality, and discretion in handling sensitive HR information.
โข Support the training Programs on Power BI, also support the Data Architecture Team on various Power BI initiatives.
โข Support the team in Chennai on HR Data Reporting and fulfil data queries from various sources, but would also be required to help with the broader work program of the team.
โข Partner with all key business areas, in particular the Security team, to ensure data security issues are considered at the outset of new projects, products, and initiatives.
โข Maintain process maps, technical documentation, and user guides in alignment with HR process updates.
โข Develop and maintain user guides and technical documentation, with regular updates to address troubleshooting and Tier 1 support requirements.
โข Prepare training materials for end-users and new joiners, ensuring adherence to best practices and consistent knowledge transfer.
Selection Criteria
โข Bachelorโs Degree in Business Administration, Human Resources, Finance, Business, or a similar field with a minimum of 5 years relevant experience or equivalent combination of education and experience.
โข Proficiency in all HR Systems and Microsoft Windows applications, namely Excel, Word and Power Point, including lookup tables, manipulation, and analysis skills
โข Knowledge/experience of core HR areas: compensation/benefits; strategic staffing, learning and training; performance management, career development, staffing and recruitment, and case management will be a plus.
โข Able to โroll up sleevesโ; has the flexibility to engage in all aspects of HR work, from identification of issues to implementation of solutions
โข Strong oral and written communications and presentation skills, ability to translate complex data for a variety of audiences, and experience with preparing client-ready materials
โข Strong quality control orientation; attention to detail
โข Demonstrated ability to work in a fast paced and dynamic work environment
โข Ability to build strong working relationships with counterparts across Human Resources Department and the World Bank Group.
โข Experience in at least 2 functional roles involving HR Core modules (Workforce administration, Benefits , Recruitment, Talent, and Performance Management etc).
โข Knowledge/Experience in change management and user training, with skills in creating user guides and technical documentation.
โข Knowledge in reporting skills (e.g., Power BI).
โข Familiarity with ServiceNow or similar ticketing systems is preferred.
โข Excellent communication skills with a strong focus on confidentiality and handling sensitive information.
