The IMF Staff Association has a vacancy for a Senior Administrative Coordinator/Lead Administrative Coordinator.
The IMF Staff Association is the only officially recognized body that represents and advocates for the IMF staff's wellbeing and interests in a variety of issues such as compensation, benefits, working conditions, and personnel policies. Members of the Staff Association have access to the Staff Association Legal Advisor and Staff Association Legal Assistance Fund (SACLAF).
Under the general direction of the Staff Association Committee (SAC) Officers, the selected candidate will oversee and manage the operations of the SAC office. The candidate will lead, plan and implement a wide range of administrative, communication, research, and technical tasks that support the SAC's mission. This role requires strong work management skills, the ability to work autonomously, and effective collaboration between and across teams. The selected candidate will support the chairs of the SACLAF and the SAC Election Committee, as well as provide administrative oversight of the tasks undertaken by the other Administrative Coordinator of the Staff Association.
The selected candidate is expected to:
- Efficiently manage day-to-day office activities, including supervising workflow and coordinating deliverables with the part-time assistant. Oversee SAC office operations by managing priorities, workflows, timelines, and coordinating deliverables with the junior part-time SAC Administrative Coordinator.
- Serve as a point of contact for Staff Association members by reviewing their inquiries and directing them to the appropriate resources.
- Support SAC Officers in formatting memoranda, communications, briefing materials, and official correspondence.
- Conducts research and analysis to support SAC Representatives.
- Coordinate meetings and agendas with other International Financial Institutions, Staff Associations and external parties.
- Plan, coordinate and organize SAC conferences and events with experience particularly in budgeting, finance, and resource planning for organizational events, including conferences, Town Halls, and Brown Bags.
- Coordinate the SAC meetings, liaising with internal and external stakeholders.
- Maintain a structured and accessible digital documentation system, ensuring proper electronic filing and secure storage in the IMFโs document management system (Nexus).
- Oversee financial management of the Staff Association by ensuring accurate revenue tracking and expenditure. Secure SAC Officers' approval for all financial transactions to ensure compliance with internal policies while maintaining financial transparency and accountability.
- Coordinate contracts and procurement processes such as the SAC Legal Advisor and other vendors.
- Collaborate with the SAC Communications team in drafting various SAC communications ensuring appropriate formatting and branding.
- Serve as the lead coordinator for the Oversight Committee of the SACLAF by handling administrative work and assisting the Committee in its responsibilities.
- Coordinate with the SAC Election Committee during the SAC election process.
- Maintain and update the SAC website in collaboration with the SAC web team.
Minimum Qualifications
GRADE A06
Educational development, typically acquired by the completion of a high school diploma, or equivalent, supplemented by a minimum of eight (8) years of relevant experience, is required. Internal candidates must have met mobility requirements. External candidates must have spent at least four (4) of the eight years of required experience in a lead role.
GRADE A07
Educational development, typically acquired by the completion of a high school diploma, or equivalent, supplemented by a minimum of ten (10) years of relevant experience, is required. External candidates must have at least five (5) of the required ten years of experience in a lead role.
In addition to the minimum qualifications, the candidate must have:
- Sound judgment and discretion, with a commitment to confidentiality and professional integrity, are required.
- Superior communication and interpersonal skills, with a strong ability to engage with Fund staff and external stakeholders at all levels.
- Strong organizational and administrative skills, with a broad understanding of human resource policies and procedures.
- Excellent interpersonal skills and the ability to work as part of a team. Ability to work independently and be proactive.
- Sound knowledge of the Fund's organization, practices, budget administration and procedures is an advantage.
- Strong technical skills. Advanced or intermediate level knowledge of Microsoft software such as Excel, Outlook, PowerPoint, Planner, Teams, SharePoint and Copilot is essential. Proficiency in the Fundโs systems such as HRPROD/FINPROD, TEMPS, and Nexus is a plus.
- Time management and multitasking abilities, with a demonstrated ability to manage competing priorities under tight deadlines.
- Advanced research, analytical and problem-solving skills.
Only candidates who are currently residing in the Washington DC metro area will be considered. Candidates need to have passed the IMF Office Assistant Exam to be considered for this position.
