Under article 4.2, paragraph (e) of the Staff Regulations, the filling of vacancies in technical cooperation projects does not fall under Annex I of the Staff Regulations and is made by direct selection by the Director-General.

Technical cooperation appointments are not expected to lead to a career in the ILO and they do not carry any expectation of renewal or conversion to any other type of appointment in the Organization. A one-year fixed-term contract will be given. Extensions of technical cooperation contracts are subject to various elements including the following: availability of funds, continuing need of the functions and satisfactory conduct and performance.
*Conditions of employment for external candidates: In conformity with existing ILO practice, the appointment of an external candidate will normally be made at the first step of this grade. The entry level salary for this position is 39,170 (BAM) yearly.
Introduction
The ILO has been entrusted by the EU and Sweden to implement the project EU4Employment in BiH (IPA 2020) aimed at improving the socio-economic situation and living conditions of people in the country. The specific objective of the project is to increase in employment opportunities for young people, rural women and vulnerable categories of unemployed, including long-term unemployed (LTU), persons with disability and Roma - individuals who face compounded labour market barriers.
The position is located in Sarajevo, Bosnia and Herzegovina, being part of the ILO Decent Work Team/Country Office for Central and Eastern Europe (DWT/CO-Budapest). DWT/CO-Budapest provides technical support and guidance related to the ILO agenda in 19 countries of Central and Eastern Europe (for more see www.ilo.org/budapest). A Project Support Assistant is responsible for the overall administrative and finance monitoring support to the project implementation under the supervision of the Project Manager.Reporting lines
The incumbent will report directly to the Project Manager and work in coordination with the ILO Decent Work Technical Support Team and Country Office for Central and Eastern Europe in Budapest (DWT/CO-Budapest), with the ILO National Coordinator in Bosnia and Herzegovina based in Sarajevo as higher-level chief.
Description of Duties
1.Draft standard correspondence, type and format a variety of documents related to project activities (correspondence, reports, technical documents, presentations, etc.) in conformity with the ILO requirements and using appropriate software.
2.Liaise with the Officeโs suppliers and project partners, donors and other parties directly or indirectly involved in the project implementation (including both written and verbal communication).
3.General office management, administrative and logistic support for meetings, seminars and/or workshops organized under the project.
4.Update information on the project website and databases. Reply to queries and emails for information.
5.Maintain files, databases and official records related to project activities. Search and select relevant information and records for officials upon request.
6.Liaise/Request services from other work units inside or outside the office for completion of tasks.
7.Process all administrative arrangements for official travel, including travel authorizations, visas and other required clearances.
8.Assist in calculating cost estimates and compile documents and materials for missions for colleagues, resource persons and participants of meetings, seminars and project-related activities.
9.Compile routine financial data and information for project-related activities. Enter data to classify and code transactions.
10.Prepare and process transactions including contracts, travel requests, purchase orders, purchase requisitions and external payment authorisations.
11.Arrange payments of resource persons, such as daily subsistence allowance. Draft payment-related correspondence, ensure follow-up and maintain records.
12.Perform other relevant duties as assigned.Required qualifications
Education
Completion of secondary school education.
Experience
At least three yearsโ experience in general office management and clerical support work.
Languages
Excellent knowledge of English and of the working language of the duty station (Bosnian/Croatian/Serbian).
