    Organizational Setting and Reporting Relationship

    The position of Operations Assistant is assigned to the Office of the Director General, CWRD (CWOD) within the Central and West Asia Department (CWRD). You will be based at our Headquarters in Manila, Philippines.

    You will report to designated international staff and officer.

    Your Role

    As an Operations Assistant, you will handle administrative tasks for the Deputy Director General and Management Staff, support CWRD operations, and assist with office, knowledge, and event management activities as directed by supervisors.

    You will:

  • Ensure that all correspondence and documents for supervisors are correctly typed, prepared and submitted on time in compliance with ADB's standards.
Oversee mail distribution and ensure communications. Handle reception tasks, including screening calls, taking messages, and directing queries to the appropriate staff. Coordinate supervisors' schedules by managing calendars, appointments, meetings, and travel arrangements through Concur System, following ADB procedures. Prepare and record meeting minutes. Help prepare memoranda, PowerPoint presentations, background papers, back-to-office reports and other reports. Be a reliever for the Executive Assistant, CWRD during leave. Coordinate with other assistants in recording, distributing, and ensuring delivery of incoming mails to the appropriate staff. Maintain office filing systems (electronic and paper) for easy retrieval, and manage relevant databases. Support in organizing and managing internal and external events, conferences, workshops, and other knowledge and events management-related activities. Perform any other responsibilities as may be required and reflected in your work plan.

Qualifications

You will need:

Bachelor's degree in Finance, Accounting, Business Administration, or other related fields. At least 5 years of relevant work experience; preferably with related experience in international agencies. Proficient in standard software programs and information technologies such as Microsoft O365. Familiarity with videoconferencing tools (MS Teams, Zoom, etc.). Excellent administrative and organizational skills, with attention to details; able to handle numerous responsibilities simultaneously. Ability to liaise professionally with colleagues and ADB stakeholders, with strong interpersonal skills to build rapport in a multilateral setting. Ability to work collaboratively with teams as a constructive team member. Strong presentation and communications skills. Please refer to the link for ADB Competency Framework for TL1.
