Position Overview The In-Kind and Supply Chain Partnerships Associate will be a member of Partners In Healthโs (PIH) International Operations Team. The Associate is responsible for the stewarding and documentation of preferential pricing and gifts in-kind, including services, equipment, medications, and supplies that directly contribute to Partners in Healthโs (PIH) cost savings measures and the delivery of high quality, dignified care. As a member of PIHโs Sourcing and Pharmacy team, this person plays a central role in integrating gift in kind (GIK) management and opportunities for preferential pricing into PIHโs planning, sourcing, and logistics activities, as well as aligning activities with established Development and Communications systems. The person in this position is expected to be proactive in pursuing and maintaining GIK and partnership opportunities with multinational corporations, national companies, corporate foundations, and individuals that support PIHโs work around the world. Specific Responsibilities: Systems and Tracking (20%)
Collaborate with the Development and Finance teams to improve procedures and systems related to reporting of GIK dataCollect and record all required data and documentation in International Operationโs and fundraising electronic systemsEnsure internal and external reporting requirements are met accurately and on time Sourcing and Logistics (50%)
Submit GIK offers to the Formulary Committee or Director of Sourcing and Pharmacy for review, and follow-up to collect any required informationIdentify areas to improve processes through which GIK offers are managed and evaluatedWork with planning and procurement teams to identify budget alleviating opportunities and leverage supply chain data to forecast and submit recurring donation requests, and draft reports Coordinate shipping logistics for donated items with freight forwarders and PIHโs warehousing partner, liaising with site teams as neededMaintain records for all in-kind donation shipments including entering orders in OpenBoxes; maintain the integrity and transparency of all department records and files Create/collect and communicate relevant customs clearance documents to site-based teams; keep teams updated on shipment status Work with vendors and donors to create shipment plans, monitor adherence to shipment plans, and update ERP system as items shipWork with site and logistics colleagues and donors to resolve discrepancies in received quantities and ensure inventory is accurateWork closely with U.S. warehouses to ensure items are shipped out to final destinations in a timely manner and according to level of priorityProvide support to general Sourcing and Supply Chain functions as needed Item Master Management (10%)
Contribute to the maintenance of the PIH Item Master by ensuring pertinent information for donated items is accurate, including but not limited to storage requirements, item pictures, program tagging information, hazard class and other data points as required Portfolio Management (20%)
Serve as the primary GIK point of contact for a portfolio of donors, Contribute to proposal and report writing related to GIK and partnership development with internal stakeholders; complete applications, MOUs, and donor agreements in partnership with Development and Legal teamsRepresent PIH externally with partners on phone calls, face-to-face meetings, and site visits Qualifications: Required:
3-5 years relevant work experience or a combination of work experience and education in procurement, sourcing, logistics, international development, healthcare administration or similar fieldExcellent communication and writing skills; ability to articulate PIHโs mission, program objectives, and resource needs persuasively to potential donors; able to communicate complex processes clearly Experience with international logistics and/or procurement planning OR experience with relationship management, stakeholder engagement and/or stewardship Demonstrated success assessing priorities and managing a variety of activities in a time-sensitive environment with high attention to detailAbility to work both independently and collaboratively to accomplish goalsAbility to learn new electronic systems quickly Ability to follow established processes and identify opportunities for process improvementsWillingness to do important repetitive tasks and data entry and ability to see their connection to larger team and organizational goalsAbility to work well with a diverse team, honoring concerns and priorities of field-based staff Preferred:

Pay and Benefits The expected starting salary range for new hires in this position is between $55,000 and $60,000/year and may vary depending on multiple individualized factors, including market for the position, job-related knowledge, skills, and experience.
