The Human Resource & Administrative Assistant supports human resource function and the Admin role as specified in the ToR in compliance with established rules, guidelines, processes and procedures.

Task DescriptionUnder the direct supervision of of the HR & Admin Associate and overall guidance of the Operations Manager, the National UN Volunteer Human Resource & Administrative Assistant will be expected to undertake the following responsibilities: 1. Support in HR services focusing on achievement of the following results: • Assist with recruitment process for Individual Consultants, field consultants, and other modalities, preparing relevant documentation, job advertisement, and selection process etc. • Maintain updated recruitment status for all candidates and assist in maintaining proper documentation for all the recruitments. • Maintain the master tracker for field consultants and assist in contract management • Prepare onboarding checklist for the new joiners and assists in onboarding of all new joiners • Coordinate and Support exit clearance activities, as assigned. • Assist in maintaining and updating various staff reports e.g. Staff Master Sheet, organogram and other trackers • Tracks contract expiration (Fixed-Term Appointment, IC and field consultants) and support for their timely confirmation on the contract extension / closure in line with the SOP and processing the extension / termination request. • Preparing requisitions in Quantum. • Support in maintenance of proper electronic filing systems for HR records and documents. • In consultation with the direct supervisor and office management, support documentation of CO business processes mapping and preparation of internal HR management Standard Operating Procedures (SOPs). 2. Assets Management • Support in periodic physical inventory inspections and maintaining of updated inventory records. 3. Other: • Perform any other duties as may be assigned by the Supervisor and senior management of the Country Office.

Living conditions and remarksNew Delhi and the surrounding National Capital Region is a large and bustling metropolis of some 14 million people undergoing rapid changes. The capital city is an administrative, cultural and commercial center with modern amenities and well connected by air. It is a safe place with large expatriate community drawn from embassies, UN agencies, MNCs and foreign businesses. It has short moderate winter and long hot summer. As this is a national UN Volunteer assignment, the UN Volunteer will be responsible for arranging his/her own housing and other living essentials. This position is based in New Delhi. National UN Volunteers are part of the malicious insurance plan. National UN Volunteers are expected to be culturally sensitive and adjust to the prevailing culture and traditions. The contract lasts for the period indicated above with possibility of extensions subject to availability of funding, operational necessity and satisfactory performance. However, there is no expectation of renewal of the assignment. The applicable Volunteer Living Allowance is provided monthly to cover housing, utilities and normal cost of living expenses.
