The purpose of the Human Resources & Administration Officer position is the day-to-day implementation of the Human Resources and Admin related responsibilities. The position holder will be implementing various matters related to talent acquisition, performance management, duty of care and operational HR activities, as well as carrying out administrative tasks.
- Ensure proper maintenance of office equipment and stationery, scheduling repairs through the logistics department whenever necessary
- Supervise cleaning staff and prepare their schedule
- Help with local procurement, in accordance with NRC procurement procedures and thresholds
- Develop and maintain an accurate database of Admin documents and HR-related documents including national staff information (soft copies)
- Follow up on all related personnel management, staff database, access control, timesheets, attendance, leave balances, performance management, and documentation to ensure compliance of filing using hard copy personnel files and e-filing
- Follow up on the required and mandatory training for all staff and assist in training NRC staff when needed
- Prepare contracts for new staff ย and track contracts extension
- Use NRC People to update staff database and recruitment
- Attend all meetings assigned by the line manager and prepare periodic HR reports
- Support and coordinate national staff recruitment up to grade 6 and provide inductions
- Ensureย adherenceย to national labor law in all HR processes and procedures
- Carry out and follow up on the implementation of the onboarding and exit procedure for all national staffย as per NRC standards
- Fulfillย any other HR/Admin-related tasks that may be assigned by the line manager
- Manage all staff leave and absences and share updated records on a monthly basis
- Work to promote gender equality in the organization, including through careful research of obstacles to female staff recruitment, retention, and promotion, in the local context.
- Establish and maintain good professional working relationships with landlords, service providers, and suppliers whilst strictly adhering to NRC's anti-corruption guidelines and NRC's code of conduct.
- Support in implementing efficient management of office supplies and consumables
- Promote a positive, safe and inclusive work environment for all staff, including through effective staff feedback mechanisms
- Support in the implementation of a capacity building plan to train and develop staff as an integral part of duties
- Make monthly updates to the staff contact list.ย
