The TeamOur Global Health Program harnesses advances in science and technology to save lives in poor countries. We focus on the health problems that have a major impact in developing countries but get too little attention and funding. Where proven tools exist, we support sustainable ways to improve their delivery. Where they do not, we invest in research and development of new interventions, such as vaccines, drugs, and diagnostics. Our work in infectious diseases focuses on strategies to fight and prevent HIV/AIDS, malaria, tuberculosis (TB), neglected tropical diseases, enteric and diarrheal diseases, pneumonia and polio.
This posting represents two distinct 24 month opportunities within our Global Health Division:
The Enterics, Diagnostics, Genomics, & Epidemiology (EDGE) Team, which aims to accelerate the reduction of childhood deaths from diarrheal disease, eliminate typhoid as a public health problem, enhance the development and use of diagnostics for infectious diseases, and develop low-cost and optimized approaches to pathogen surveillance in low- and middle-income countries (LMICs).
The Malaria Team, which is dedicated to reducing the global burden of malaria and ultimately achieving its eradication. The team focuses on accelerating progress through innovation, strategic partnerships, and evidence-based policies, including investments in vaccines, vector control, surveillance, health system strengthening, funding, and country-level support.

Your Role
This role provides critical administrative and organizational support for Deputy Directors, Senior Program Officers, and the broader team. Reporting to the Senior Manager, Strategy & Implementation for the EDGE team or the Senior Assistant for the Malaria team, the Program Assistant will deliver comprehensive administrative and organizational support for program and operations leaders.
As an engaged member of the business team, this role requires efficiency, attention to detail, flexibility, and sound judgment to ensure smooth team operations. The Program Assistant plays an integral role in maintaining a highly productive environment by managing administrative and scheduling functions effectively. A successful candidate will demonstrate the ability to navigate responsibilities with adaptability and contribute proactively, even in evolving situations.
This is a 2-year limited-term employment position based in our Seattle Office.
What Youโll Do
Schedule a high volume of appointments and meetings, manage complex calendars for multiple people and across multiple time zones.
Make travel arrangements domestically and internationally.
Assist in scheduling and planning for events, such as meetings, conferences, and presentations, which may include coordinating arrangements for participants, handling logistics, preparing, and disseminating materials.
Partner with Events team, AV (Audiovisual) team, and external speakers for virtual convenings.
Provide communications support and assistance to ensure timely responses to inquiries, including answering and prioritizing emails and calls. This includes the ability to synthesize information to make recommendations and decisions.
Maintain organized files and records and a system for tracking, monitoring, and prioritizing tasks and projects.
Play a key role in team culture and help design team-building and celebration events.
Provide administrative support including document creation, expense reports, reimbursements, organization, and maintenance of files.
Work on special projects as needed.
Interact and communicate clearly and consistently with grantees and partners in the field.
Your Experience
Bachelorโs degree or equivalent experience.
3+ years of work experience in an administrative role for a complex and fast-paced organization.
Proven ability to set priorities and meet deadlines while balancing the need to provide support for multiple individuals, including complex calendar, travel, and event planning.
Excellent oral and written communications skills.
Able to communicate effectively with internal and external contacts, establish trust, and adjust to a wide variety of working styles.
Knowledge of foundation priorities and how they align with the goals of the department/division.
Proficient skills with Microsoft Office Suite, including Outlook, Teams, PowerPoint, Word, and Excel, as well as SharePoint.
Good judgment, maturity, discretion, tact, and a sense of humor.
Positive, collaborative, customer-oriented approach to work.
Demonstrated confidence and grace needed to address multiple priorities at a rapid pace.
Must be able to legally work in the country where this position is located without visa sponsorship.
Compensation
The salary range for this role is $30.58 - $42.79. As a mission-driven organization, we strive to balance competitive pay with our mission. New hires' salaries are typically between the range minimum and the salary range midpoint. Actual placement in the range will depend on a candidateโs job-related skills, experience, and expertise, as evaluated during the interview process.#LI-LF1
