DRC Uganda is currently looking for a highly qualified and motivated individual to join our dynamic team as a Finance Assistant.
The overall purpose of the role:
To support the efficient and effective financial operations and administrative functions of the DRC field office ensuring compliance with DRC rules and regulations as per the Operations Handbook (OH) alongside donor policies, procedures, guidelines and rules.
Your main duties and responsibilities will be:
Receive invoices, check their eligibility, and identify mistakes and missing documentation to be completed for payment in compliance with DRC procurement procedures and budget monitoring.
Accurately prepare documents, compile source documents and carry out daily postings of all the paid transactions in the cash book.
Check the justification of operational advances before making payment, and ensure their settlement in a reasonable time.
Track cash advances and ensure no outstanding advance for a period of over a month.
Monthly update the scan report and share it with the Finance Specialist at Kampala.
Ensure that the withholding taxes are well calculated, recorded in the cash book and paid at a monthly basis.
Participate in audit preparation/execution e.g. compilation of audit requirements.
Implement financial policies and procedures in accordance with DRC Operational Handbook.
Responsible for all bank and cash payments upon review and approval of supplier / service provider invoices based on complete documentation.
Prepare Payment Vouchers for all payments.
Establish the cash requirements, and maintain adequate cash levels and related cash controls.
Responsible for banking activities and custody of available funds.
Maintain financial files (physical and soft copies) and records according to DRC Operations handbook.
Weekly creation and management of Kampala journals for all project budgets and timely submission of weekly Journals for review and posting as per the calendar.
Management of DRC cash box/accounts and money safe.
Ensure physical cash count reconciled at the end of the week (Friday)/Month with support from Finance Manager
Prepare Monthly bank/cash reconciliations and maintain an updated bank reconciliation file.
Ensure all DRC and partner documents are scanned and easily archived in both electronic and physical files on SharePoint.
Review and scan Kampala vouchers with supporting documents, ensuring proper filing and archiving in line with donor and DRC requirements on SharePoint
Update missing receipt database and share with Supply chain/ Admin department for follow up ensuring the Finance Mangeris informed about long outstanding receipts.
Preparation of monthly VAT and WHT schedules for consolidation on monthly basis before the 10th of every month.
Review balance sheet items especially cash advances for correctness and flag outstanding advances to the Finance Manager.
About you
To be successful in this role, we expect you to have a minimum of 2 years of relevant professional experience in general accounting, finance, and clerical work in a local or International Non-Governmental (INGO). Moreover, we also expect the following:
A Bachelor's degree in Business Administration preferably accounting or finance option
Intermediate level training in accounting
Level 1 in ACCA or CPA
Ability to work closely and effectively in a team to achieve work priorities and objectives.
Enthusiasm as a team player, who is flexible, always ready to take on new challenges and drives for results in a dynamic environment
Ability to plan, organize, prioritize, and deliver under pressure
Good knowledge of Microsoft Office (Excel, Word, Etc.)
Fluency in written and spoken English.
