It also works towards strengthening data generation and analysis. Resilience and Sustainable Growth which focusses on enhancing economic innovation, inclusive business, job creation, and renewable energy access. It also works towards helping Malawi adapt to climate change and build resilience to disasters.

Task DescriptionWithin the delegated authority and under the supervision of Operations Manager or his/her designated mandated representative(s), the national UN Volunteer Finance and Admin Assistant will undertake the following tasks: 1. Participating in Implementation of Operational Strategies: - Support the CO in finalizing the Internal Standard Operating Procedures (SOPs) for various administration and operational services. - Participate in implementation of cost saving and reduction strategies and in consultation with the office management. - Manage the Operations share point ensuring all files are up to date 2. Assist the administration unit in the following areas: - Fuel management, reviewing of vehicle logbooks and other documents and ensure that monthly fuel reconciliations are done on time. - Drafting of various administrative memos going to government departments and other offices. - Following up with the immigration office and Ministry of Foreign Affairs on various documents that have been submitted for approvals. - Review and Updating audit files on the share point and ensure that all documents are up to date. - Preparing cost recovery invoices for various services rendered to the projects and other UN Agencies. - Support asset management processes- generate, retrieve, and analyze reports for corrective actions to be done on time. - Follow up with programme teams on outstanding invoices. - Following up with units on the Business and Operation Strategy (BOS) and ensure timely update on the line services. - Support with management of lease agreements and ensure timely renewal and that all signed agreements are uploaded onto the SharePoint. - General office maintenance, inspection of offices to produce a monthly report indicating areas requiring maintenance and repairs. - Any other tasks as delegated by the Administrative Associate 3. Participates in proper management of common services. - Contributes to proper tracking of common services budgets for UN Agencies by producing monthly reports showing contribution status. - Invoicing of common services bills - Participates in processing of cost recoveries for the services offered to various UN Agencies by following up with the operation units and producing a monthly report indicating revenue generated. - Any other related tasks as may be required. 4. Provide accounting and administrative support to finance unit. - Facilitate the signing of Checks and bank letters. - Review of mobile payments file before uploading on business online platform. - Support in recording, reconciliation, and submission of VAT claims with relevant TAX authority. - Sharing of proof of payment (POP) with suppliers - Submission of deposit for bank reconciliation. - Follow up on outstanding PCA in consultation with Head of Finance - Assist in reconciling supplier accounts such as conference facilities, car hire, custom clearance etc. - Review pending and unpaid invoices in the system then share report with respective units in consultation with the Head of Finance - Support proper control of the documents and payment invoices and proper document management including systematic filling of documents. - Photocopying and scanning of documents. - Follow up on audit files ensuring they are up to date in consultation with the Head of Finance
