The Position:
The Individual Consultant will be working at SCMU in Copenhagen and will be reporting and receiving support from the UNFPA Supply Chain Solutions Team Lead as a Procurement Focal point and work in collaboration with the team members. The Individual Consultant provides supply chain services to external partners and in close collaboration with field offices staffs for the programme implementation, handling operational work and solving complex supply chain-related issues.
Place where services are to be delivered: Copenhagen, Denmark. Remote can be an option according to experience.

You would be responsible for:
Procurement and supply chain activities to external partners: Administer, execute, and coordinate the procurement and supply chain services, providing effective and efficient guidance to external partners interested in procuring via UNFPA Supply Chain Solutions from the initial request to the end of the procurement process in line with UNFPAโs policies. Prepare correct Pro-forma Invoices in the OMS according to the customerโs need and in line with UNFPA procurement procedures, on the relevant applications and as per agreed KPIs, ensuring that all relevant documentation is saved in electronic files. Process and dispatch purchase orders in the ERP system, monitor shipments with suppliers and handling shipping documents ensuring its correctness, liaising with the consignee on shipment updates or quality concerns and finding solutions for any pending matters with relevant internal or external stakeholders. Process payments, close POs, prepare reconciliation of Pro-forma Invoices with Finance Team and submission of Final invoices to partners, including the follow-up of payment, vendor assessment, among others.
2. Operational support:
Ensure that the required information on supply chain services is clearly shared with external partners according to their specific needs and to their understanding, ensuring an excellent customer experience for the external partners. Maintain updated information in the Customer Relationship Management system. Ensure that all the databases are updated accordingly. Provide support in the issuance of reports and other data-related documents.3. Other responsibilities as requested by the Team Lead
Expected travel: The consultant is not expected to travel for this assignment.
Inputs / services to be provided by UNFPA:
UNFPA SCMU will provide the consultant with the necessary equipment (laptop), software and office space, as well as with the necessary training and guidance in order for the consultant to carry out the assignment.
Qualifications and Experience:
Education:
Completion of Secondary education is required. A University degree at Bachelor Level in Supply Chain Management, Business Administration, Public Administration, Procurement, Logistics, Marketing, International Relations, Development Studies International Commerce, or equivalent field is an asset. A professional Supply Chain Management certification such as CIPS (Chartered Institute of Purchasing and Supply) or CILT (Chartered Institute of Logistics and Transport) at basic qualification (Level 2) would be an additional asset.Knowledge and Experience:
A minimum of six years of experience in international procurement, logistics or supply chain operations in a large multi-national or international or development organization. Strong interpersonal, communication and negotiation skills, with ability to develop and maintain broad diversified partnerships with external partners such as governments, NGOs, principal recipients, and donors is required. Working knowledge of Google tools and analytical applications, spreadsheets for performance metrics and management reporting, Oracle ERP system, OMS system and issuing Proforma Invoices, database and dashboard development for a variety of audiences, e-filing, and Data Studio is an advantage. Familiarity with public procurement rules and regulations and related supply chain management policies and guidelines is an additional asset. Experience from working with UNFPA or another UN agency or programme is a strong asset.Languages:
Fluency in English is required. Working knowledge of at least one of the UN Languages: French, Spanish or Russian is highly desirable.
