The Position:

The Individual Consultant position will be located in the Logistics Management Services (LMS) Team within Pillar 2 โ€“ Supply Operations in the UNFPA Supply Chain
Management Unit (SCMU) and will report to the Prepositioned Stock Team Analyst - Team Lead. The consultant will be responsible for the procurement and management of stocks of Interagency Reproductive Health Kits (IARH kits), male and female condoms, dignity kits, fistula kits, lubricants, security and lifesaving equipment for UNFPA global stock. The incumbent will develop and apply established inventory management systems and procedures and ensure proper inventory management and tracking of the UNFPA stocks, monitoring the movements and ensuring availability of stock at any point in time.

The UNFPA Supply Chain Management Unit (SCMU) is self-funded and was made operational in January 2022. It is tasked with ensuring that UNFPA is able to effectively and efficiently support the delivery of life-saving reproductive health products and other programme supplies to the end user when and where they are needed. To achieve this, it is important to strengthen the capacity of governments and implementing partners to ensure coordination, end-to-end visibility and accountability on all supply chain and logistics management related activities, in particular for programme supplies, across all UNFPA programmes.

You would be responsible for:

A. Inventory management

  • Stock Strategy โ€“ Support the implementation plan to ensure efficient delivery of quality-assured programme supplies and other critical supplies to UNFPA programmes and partners, minimizing lead times and enhancing supply chain preparedness. The three main areas of focus being: products, places, and network design.
  • Dynamic Stock Replenishments - Identify the need and trigger the dynamic replenishments by weekly tracking the progress of already placed replenishment orders combined with the incoming emergency and unplanned requests for outbound deliveries. Including rigorous inventory control to maintain accurate records, systematic monitoring of stock levels to anticipate future requirements.
  • Stock Replenishment Orders - Actively monitor lead times and the production process in general, including supplier performance. Monitor regularly the unplanned demand and re-direct large and/ or specific orders to fresh production ensuring flexibility and responsiveness to the Country Offices/ Third Party Procurement needs. Ensure timely handling of replenishment Purchase Orders (PO) from issuance to putaway. Manage the PO tracker for a smoother putaway process. Engage in cross-functional collaboration to align category management activities to ensure the effectiveness of inventory management from forecasting and planning, procurement, finance, storage, and distribution functions. Contribute to the development and implementation of tracking technologies for the global stock to maintain full visibility and to ensure the integrity and accessibility of these stocks.
  • Reconciliation - Support the monthly stock reconciliations for all storage locations and stock items investigating the discrepancies and taking required action to solve them. Provide input to the quarterly and year-end stock reconciliations and stock valuation exercise for all storage locations and stock items, including physical stock count.
  • Audit - Maintain accurate and comprehensive records of inventory activities, ensuring proper documentation for audit trails and compliance with UNFPA policies and reporting. Support and implement activities related to UNFPAโ€™s Governance, Risk, Compliance and Reporting function.
