Job Title: Administrative Assistant
Department: Center for Transformative Learning Technologies
Reports to: Deputy Chair - Center for Transformative Learning Technologies Location: Butaro - Rwanda
Position Overview:
The University of Global Health Equity (UGHE) is seeking an administrative assistant to support the programs and operations of the Center for Transformative Learning Technologies (CTLT).
Reporting to the CTLT Leadership, the Administrative Assistant for CTLT will provide critical operational support and expertise at the center-wide level, which encompasses simulation, immersive/extended reality, artificial intelligence, digital health and online learning.
Role and Responsibilities
1) Works closely with CTLT leadership, QI/QA team and other CTLT coordinators to execute tasks and troubleshoot day to day issues within the CTLT
2) Develops and maintains collaborative relationships with CTLT staff and faculty to ensure smooth operations of all four CTLT pillars, including simulation, XR/VR, AI/digital health and e-Learning.
3) Assists with processing of inbound requests and inquiries to the CTLT from both within UGHE and externally
4) Works closely with partnership coordinator to interfaces with donors and other resource stakeholders as requested by leadership to ensure success of ongoing program
5) Supports the center in planning, executing and monitoring of CTLT projects and assists with tracking and reporting of project milestones and deliverables
6) Coordinates CTLT related logistics as needed, including but not limited to:
- Booking/organizing of events and travel
- Organizing and maintaining CTLT files, financial records, and other documentation to ensure they are easily accessible.
- Preparing and distributing agendas, minutes, and follow-up action items for meetings
- Facilitating effective communication and collaboration between all CTLT pillars and other UGHE departments
7) Provides general research support to CTLT QI/AQ lead as needed
8) Provides key insight and advice to UGHE Leadership, towards the formulation and execution of the centerโs vision and strategic plan with focus on operational efficiency and center-wide integration
9) Assistant teaching teams as needed across all pillars of the CTLT
Qualifications:
- Bachelorโs degree in business administration, management, education, or in another relevant field;
- Minimum 2 years of work experience in an administrative or executive/personal assistant role, preferably in education or technology related field
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Successful candidate should have experience working as a member of a team
- Ability to work independently, manage multiple tasks, and prioritize effectively.
- Ability to communicate effectively both orally and in writing as well as leadership-level presentation skills
- High emotional intelligence, organizational skills, curiosity and persistent desire for continuous learning
