The Position:
The Supply Chain Associate is located in the Country Office (CO)ย Manila,ย Philippines and under the overall guidance of the International Operations Manager, reports directlyย to the Procurement Associate . Internal contacts include the Internationalย Operations Manager, the Operations Team, the Programme Team, and the Sub-Office team.ย For international procurement, the Supply Chain Associate works closely with SCMU.ย
Theย Supply Chain Associate also interacts with the members of the inter-agency Procurementย Task Team under OMT. External contacts are mainly involving suppliers, this includes beingย responsible for the negotiation with suppliers. In close collaboration with the Logisticsย & Warehouse Assistant, processing custom clearance involves external contacts with the Governmentย partners concerned (Department of Finance, Bureau of Customs, Department of Foreignย Affairs).ย

Job Purpose:ย
Under the guidance and supervision of the Procurement Associate , the directย supervisor, the Supply Chain Associate ensures execution of transparent, policy andย procedure compliant, and efficient procurement and supply chain services and processes in the CO. Theย Supply Chain Associate promotes a client-focused, quality and results- oriented approach inย the CO.ย
The Supply Chain Associate works in close collaboration with the Operations, Programmeย staff in the CO, Sub-Office and UNFPA Supply Chain Management Unit for resolving complex supply chain-related issuesย and information exchange.ย
You would be responsible for:
Supply Planning and Coordination
Support supply planning processes in coordination with programme, operations, and procurement staff to ensure timely delivery of programme and operational supplies. Assist in forecasting, monitoring, and managing supply requirements based on approved work plans and budgets. Coordinate with implementing partners, field offices, and government counterparts for effective distribution and delivery of supplies.ย Procurement and Logistics Support
Assist in the preparation of requisitions, verification of funding, technical evaluations, and certification of invoices in compliance with UNFPA procedures. Coordinate inbound and outbound shipments, including customs clearance, freight forwarding, and liaison with vendors and authorities. Support contract management activities by tracking supplier performance and delivery timelines. Prepare and maintain shipping, clearance, and distribution documentation (e.g., waybills, goods receipt notes, delivery reports).ย Inventory, Assets, and Warehouse Management
Maintain accurate and up-to-date inventory and asset records in UNFPA systems; ensure barcoding, tagging, and compliance with UNFPA asset management policies. Monitor stock levels, consumption trends, and replenishment requirements; prepare periodic inventory and stock reports. Conduct receiving and inspection formalities for incoming goods and coordinate the return of damaged or defective items. Support warehouse operations, ensuring proper storage, handling, and dispatch of supplies.ย Supply Chain Data, Reporting, and Systems
Generate and analyze supply chain and inventory reports, including pipeline monitoring, delivery performance, and stock status. Support data entry, verification, and migration in supply chain and asset management databases (e.g., Quantum, FACS, or equivalent systems). Assist in the collection, visualization, and dissemination of supply data for planning, decision-making, and audit purposes.ย Compliance, Risk Management, and Capacity Building
Ensure compliance with UNFPA supply chain policies, procedures, and internal controls. Support the implementation of the COโs supply chain risk management plan and follow up on audit recommendations. Facilitate knowledge sharing and capacity building for CO and partner staff on supply and asset management procedures.ย General Administration
Provide administrative and technical support to supply and logistics functions. Supervise or guide junior or support staff as required. Carry out any other duties as may be required by UNFPA leadership.ย
Qualifications and Experience:ย
Education:
Completed Secondary Level Education required. First level university degree desirable.
Knowledge and Experience:ย
Six years of progressively responsible experience in supply chain management, logistics, warehousing, or procurement required. Proficiency in current office software applications and corporate IT systems required.ยLanguages: Fluency in English and Filipino required. Knowledge of another UN language is desirable.ย
