The United Nations Trust Fund to End Violence against Women (UN Trust Fund) was established through the UN General Assembly Resolution 50/166 in 1996. The UN Trust Fund is a global multi-lateral grant making mechanism supporting national efforts to prevent and end violence against women and girls, one of the most widespread human rights violations in the world. It provides technical assistance and funding to advance the development of innovative models and strategic interventions in the area of ending violence against women and girls. Since 2010, UN Women has administered the UN Trust Fund on behalf of the UN system, providing a strong institutional foundation and field support through a global infrastructure of country and regional offices.ย
The UN Trust Fund invests in demand-driven and evidence-based solutions and life-changing initiatives led by civil society and womenโs rights organizations. The long-term vision of the UN Trust Fund is a world of global solidarity in which all women and girls live free from all forms of violence and enjoy and exercise their human rights. To help achieve this vision, the UN Trust Fund focuses on enabling CSOs, especially Womenโs Rights Organizations (WROs) and those representing the most marginalized groups, to play a central role in delivering survivor-centered and demand-driven initiatives and support their programmes to achieve sustainable impact on ending violence against women and girls (VAW/G) in a manner that contributes to global solidarity, partnerships and stronger, inclusive feminist movements (UN Trust Fund Strategic Plan for 2021-2025).ย
Under the direct supervision of the Chief, the Coordination Analyst is responsible for providing coordination, communication and executive support to the Chief of the UN Trust Fund, and by extension, to the Secretariat at large.ย
Key Functions and Accountabilities:
1. Deliver Executive Coordination and Support to the Chief
Prepare high-quality analytical notes and PowerPoint presentations for the Chiefโs participation in internal meetings and maintain a searchable archive of key internal communications (briefing notes, presentations, and Talking Points). Provide substantive inputs and/or coordinate the drafting of communication materials in collaboration with relevant team members and stakeholders for effective dissemination of pertinent information to UN Trust Fund Secretariat staff and broader UN Trust Fund key stakeholders (including grantees, key partners and others).ย Coordinate and support the Chiefโs internal and external meetings, including scheduling, agenda setting, drafting of summaries, and tracking follow-up actions. Manage the Chiefโs calendar, correspondence, and clearance workflows, ensuring timely processing of documents and effective communication with stakeholders, as well as supporting allย operational aspects at meetings initiated by the Chief, as requested.ย Steward the coordination of travel arrangements, with a primary focus on ensuring materials are prepared, mission scheduling and all concerned parties are aware of the Chiefโs visit and scheduled activities.ย Undertake ad hoc assignments and represent the Chiefโs office in internal coordination processes, ensuring alignment with Fund-wide priorities. Work closely with the Communications and Partnerships teams to identify and support strategic opportunities that elevate the Fundโs visibility, outreach, and external narrative through the Chiefโs engagements and institutional platforms.2.ย Support Streamlined Secretariat Functioning and Strategic Tracking
Coordinate Secretariat-wide contributions to institutional processes, ensuring timely and high-quality submissions. Support the implementation of the UN Trust Fund Work Plan by tracking progress across Secretariat workstreams through coordinating to quarterly meetings and maintaining updated plans aligned with strategic priorities. Support the implementation of the UN Trust Fundโs decentralized Secretariat model, liaising with global hubs and focal points to ensure operational consistency and effective information flow. Provide substantive and logistical support to the Fundโs governance mechanisms, including the Global Programme Advisory Committee (PAC), by preparing inputs, presentation materials, speaking scripts, and tracking the implementation of recommendations and decisions. Lead internal documentation and knowledge management by organizing digital records, tracking key decisions, and maintaining accessible files for programmatic and operational reference. Coordinate missions for the UN Trust Fund Secretariat (Bonn Office), including the timely submission of quarterly leave and mission plans for Chief and PPID approval, and support the preparation and ensure filing of mission expense reports with accurate supporting documentation. Manage the Chiefโs internal clearance workflows and ensure timely processing of all approvals and documentation. Maintain a long-term calendar of Secretariat events and manage operational aspects of high-level meetings.3. Implement and Manage Human Resources Services to Strengthen Secretariat Capacity and Compliance.
Support the recruitment lifecycle for personnel under the Secretariat, including through ensuring compliance of submission packages for Chief approval, facilitating approvals, liaising with HR for vacancy announcements and recruitment milestones, and ensuring appropriate record-keeping for all related documents. Ensure timely processing and tracking of HR actions such as contract renewals through proactive monitoring of contract end-dates and initiating required actions in accordance with UN Women rules and policies. Compile and maintain staffing records, HR dashboards, and related documentation for the Chiefโs review and planning needs, ensuring data confidentiality and consistency with internal systems (e.g., Quantum). Facilitate performance management tracking for the Secretariat, including compliance with annual appraisal processes, timely submission of performance documents, and tracking completion rates. Coordinate learning and development planning for the team, compiling individual and Secretariat-wide learning plans, and supporting access to relevant training opportunities. Maintain secure and up-to-date HR records, staffing data, and recruitment documentation; generate HR reports and dashboards for planning and audit purposes. Serve as the primary Secretariat focal point for HR queries and interface with HR HQ and regional colleagues as needed. Organize information sessions and knowledge-sharing moments related to HR workflows, HR policies, processes, and best practices, as requested by the Chief.4. The incumbent performs other duties within their functional profile as deemed necessary for the efficient functioning of the Office and the Organization.

Masterโs degree (or equivalent) in Social Sciences, Human Rights, Gender/ Womenโs studies, International Development, or related field is required.ย A first-level university degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree.Experience:
At least two years of progressively responsible experience in providing coordination and executive support in areas such as resource mobilization, advocacy for womenโs rights, or ending violence against women. Prior experience in the area of ending violence against women is required. Experience in inter-governmental processes is required. Experience managing digital records, document workflows, and databases is required. Experience supporting human resources processes, such as recruitment, onboarding, and performance management, is desirable. Experience with project or process management is desirable.
