The Team Assistant reports to the Human Resources Officer of the relevant area. ResponsibilitiesUnder the overall supervision of the Human Resources Officer, the Team Assistant will be responsible for the following duties: โข Provides general office support services to help ensure the smooth functioning of an organizational unit. โข Uses standard word processing package to produce a variety of routine correspondence, reports, tables, charts, graphs, etc., in accordance with institutional standards. โข Proofreads written products for completeness and grammatical and typographical accuracy. โข Monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit. โข Reviews, records, routes and/or processes mail or other documents; gathers pertinent background material; tracks and monitors follow-up action as required. โข Receives phone calls and visitors, and responds to routine inquiries and information requests, including drafting routine written responses, or routes to appropriate personnel for handling as required. โข Maintains files (both paper and electronic) and databases for work unit. โข Updates and maintains large distribution lists; assemble documents, reports and other materials for global dissemination, where possible using electronic formats; coordinates courier services. โข Performs basic data entry and extraction functions. โข Checks accuracy of simple calculations, coding, data, etc. โข Operates and maintains a variety of office equipment in the performance of basic office functions, e.g. photocopier, printer, scanner, etc. โข Delivers urgent mail/messages. โข Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. โข Assists with visualizations and updating information material such as web pages or brochures. โข Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. โข Assists with visualizations and updating information material such as web pages or brochures. โข Performs other duties as assigned. The minimum years of relevant experience is reduced to zero (0) for candidates who possess a first-level university degree or higher. General office support experience is desirable. Experience using ERP systems, such as PeopleSoft, SAP or other, to manage HR processes is desirable. Experience working for an international organization is desirable. Experience in maintaining and supporting the creations reports, information management, or related area is desirable. One year or more of experience in data analytics or related area is desirable.
