Organizational Setting and Reporting Relationship
The position of Senior Operations Assistant is assigned to the Private Sector Financial Institutions Division (PSFI) within the Private Sector Operations Department (PSOD). You will be based at our Headquarters in Manila, Philippines.
You will report to the designated Technical International Staff and Senior Officer, as applicable.
Your Role
As a Senior Operations Assistant, you will provide operational support to project processing, coordinate activities for the division, including coordination for knowledge sharing activities, database management, and other clerical functions.
You will:
a. Project Processing
- Prepare and circulate required documents and materials for Investment Committee and Board meetings ensuring that these are in order.
b. Technical Assistance
Help process and administer technical assistance (TA) projects, including preparing TA completion reports and staff consultant engagement, processing of claims and contract variations. Monitor TA performance report and TA information system database for progress on TA under implementation. Monitor the division's TA projects and with coordinate PPIS updating.c. Data Analysis and Report Generation
Collect, compile and analyze relevant information to produce routine and ad hoc reports as instructed.d. Coordination
Handle internal and external coordination as contributing to the enhancement and implementation of systems and procedures related to project processing. Test and implement new systems for project monitoring and reporting requirements.e. Team Administration
Manage records following existing framework for easy retrieval. Help maintain office supplies including supplies used for official travel, team and project-related activities. Help draft or respond to communication, correspondence, instructions and general inquiries from clients. Manage team meetings, schedules and activities. Arrange meetings and official travel of deal teams including ensuring budget availability and completeness of document required for such meetings and activities. Ensure the completeness of documents and records in liquidating and reimbursing expenses for sponsor funded official travels.f. Others
Perform other tasks in consonance with the role and workplan.Qualifications
You will need:
Bachelor's degree in Business Administration, Finance, or relevant fields At least 5 years of relevant professional experience. Experience in nonsovereign project processing and administration. Proficiency in computer applications and programs (Word, Excel, PowerPoint) and other office information technologies. Ability to collaborate with teams as a constructive team member Ability to handle confidential matters and respond appropriately to urgent situations.
