Background:
This is a roster call for short term assignment - successful candidates will be placed on the roster and may be contacted when a suitable opportunity arises to perform tasks and responsibilities as described below, or similar.
The OSCE has a comprehensive approach to security that encompasses politico-military, economic and environmental, and human aspects. It therefore addresses a wide range of security-related concerns, including arms control, confidence- and security-building measures, human rights, combating human trafficking, national minorities, democratization, policing strategies, counter-terrorism and economic and environmental activities. All 57 participating States enjoy equal status, and decisions are taken by consensus on a politically, but not legally binding basis.
The Office for Democratic Institutions and Human Rights (ODIHR) is the principal institution of the OSCE responsible for the human dimension. ODIHR is active throughout the OSCE area in the fields of election observation, democratic development, human rights, tolerance and non-discrimination, and the rule of law. ODIHR's assistance projects and other activities are implemented in participating States in accordance with ODIHR's mandate.
Under the Helsinki 1992 Document and Permanent Council Decision PC.DEC/476, ODIHR organizes the annual Human Dimension Implementation Meeting (HDIM), the Human Dimension Seminar (HDS), and supports the Chairpersonship in holding three Supplementary Human Dimension Meetings (SHDMs) annually. ODIHR also conducts the Human Dimension Induction Course (HDIC) for new OSCE staff and organizes or assists with other OSCE human dimension events, as needed.
The Human Dimension Meetings Unit holds the primary responsibility within ODIHR to ensure the efficient and timely organization of mandated and other relevant events in line with applicable rules and requirements. The Unit currently consists of two staff members and one part-time member, and, given the anticipated workload and planned activities, is looking to establish a roster of qualified candidates who may be engaged for short-term assignments of various durations not exceeding one year as Senior Meetings Assistant.
Tasks and Responsibilities:
Under the supervision of the Human Dimension Meetings Officer, incumbents are expected to perform the following functions:
Event Planning, Coordination and Liaison- Take the organizational and specialized lead on certain aspects of the events.
- Contribute to the planning, delivery, conduct, and follow-up of events, including by supervising delivery of services and goods.
- In particular, provide input to discussions on organizational issues and make logistical and administrative arrangements.
- Assist with organizing preparatory processes within ODIHR, the wider OSCE and with relevant stakeholders and clients. Participant Support
- Prepare, contribute to, and provide information, including on the substance of the events, as well as organizational and logistical support to stakeholders and participants.
- Depending on event modalities and requirements, manage certain aspects of the events by utilizing ODIHR’s Conference and Registration System.
- Utilize ODIHR’s Conference and Registration System to assist participants.
- Ensure participants have access to necessary information and resources before and during events.
3. Organization of Administrative Processes
- Help organize and manage administrative processes necessary for the functioning of the unit, including by adapting procedures, techniques, and/or equipment to meet special needs.
- Prepare and organize correspondence, plans and other documentation; contribute to the drafting of letters, notes, presentations and reports.
- Contribute to procurement and budgetary processes and documents, prepare purchase requests, receive goods and services.
- Manage records, databases, and calendars.
4. Other Duties
- Provide backup for the Human Dimension Meetings Officer as required.
- Provide backup for other Unit members as required.
- Undertake additional tasks as assigned by the Human Dimension Meetings Officer.

Necessary Qualifications:
Completed secondary education. Additional courses or training in business/public administration, protocol, event management, or related fields are desirable; A minimum of six years of experience relevant to the nature of duties described under Tasks and Responsibilities section, including at least two years of work experience in an international organization, or at least one year of work experience in supporting or organizing intergovernmental processes or events; Experience coordinating conference support, meetings programming, or in similar areas is desirable; Good organizational and planning skills; Good drafting skills for preparing official correspondence and communication; Ability to work autonomously and collaboratively within a team as required; Ability to work under time pressure and to handle a fluctuating workload; Excellent written and spoken communication skills in English. Knowledge of Polish / or other OSCE languages, in particular Russian, is desirable; Excellent computer skills. Experience with Enterprise Resource Planning software, or Content Management Systems, in particular relating to conference management, and Virtual Meeting Platforms is a strong asset; Ability to work with people of different nationalities, religions and cultural backgrounds.Remuneration Package:
Monthly remuneration, subject to social security deductions, is approximately PLN 10,577. OSCE salaries are exempt from taxation in Poland. Social security will include participation in the Cigna medical insurance scheme (current approximate deduction for a staff member is 68 Euro) and OSCE Provident Fund. The Organization contributes an additional amount equivalent to 15% of the employee's salary to this pension-style fund while the employee contributes 7.5%. Other allowances and benefits are similar to those offered under the United Nations Common System for general services employees.
Appointments are normally made at step 1 of the applicable OSCE salary scale.

The mandatory retirement age at the OSCE is 65 years for contracted positions at the general service, professional and director level. The Organization shall apply an age limit of 62 years at the time of appointment as the incumbent selected is normally expected to carry out the contractual obligation of two years.
