Title of Assignment: Senior Communication and Training Consultantย 

Name of unit/sector: Administration, Finance and Management Sector, Information and Communication Technology Department, Enterprise Solutions Division

Place of Assignment: WIPO HQ, Geneva, Switzerland (min 60%) and remotely (up to 40%)ย 

Expected duration of assignment: 6 months with a possibility of renewal.

1. Organizational Context ย 

The Consultant will work in the Enterprise Solutions Division (ESD) that provides support to users of the portfolio of applications collectively known the Administrative Integrated Management System (AIMS). The Division also ensures continuous development and ongoing support of IT solutions pertinent to Enterprise Resource Planning (ERP) based on PeopleSoft, Oracle OBIEE, Taleo Recruitment and custom web-applications.ย 

The ESD is composed of a Service Desk for Level 1 user support and 3 Solution Teams led by the Solution Managers. Each Solution Team liaises with its respective business area(s) such as HR, Finance, Procurement, Performance and Budget, etc. for the support and new initiatives related to the AIMS applications. ย 


2. Objective of the assignmentย 

WIPO is undertaking a major digital transformation, rethinking its administrative processes, while replacing its entire ERP ecosystem, including Procurement, HR and Finance solutions. Oracle and their SaaS solution Fusion were selected to implement and deliver the solution.ย 

The main role of the Consultant is to drive the communication activities throughout this important change, ensuring regular and efficient communication of changes, ensuring adoption, as well as coordinating trainings mapped to delivery phases.ย 


3. Deliverablesย 

The Consultant will perform the following principal duties within the WIPO AIMS Transformation project:ย 

a) Deliver integrated communication and training approach, with timeline aligned with ERP implementation phases;
b) Develop transformation promotional strategy including the use of various media solutions to increase information and user adoption;
c) Communication strategy execution including regular implementation status updates, change readiness assessment reports, Go-live preparation communications;
d) Stakeholder analysis matrix, channel strategy and key message framework, communication calendar and schedule;
e) Perform project communication coordinating with various stakeholders;
f) Prepare and Deliver End-user training guides for Finance, Procurement and HR modules;
g) Prepare Role-based learning paths, course catalogue with module descriptions, training delivery timeline and logistics plan;
h) Conduct end user training as per the project plan.ย

The Consultant will work under the supervision of the Senior Delivery Manager (ESD).ย

Essentialย 
- Advanced degree in Communications, Education, Instructional Design, Business Administration, Human Resources, or related field. A first-level university degree plus two years of relevant experience in addition to the experience requested below may be accepted in lieu of an advanced university degree.ย 


Desirableย 
- Certification in training management (CPTM, CTT ..);ย 
- Change Management Certification (PROSCI, ADKAR, or equivalent);ย 
- Project Management knowledge (Prince 2 or similar);ย 
- ERP-specific certifications (Oracle) related to training.ย 


b) Experienceย 

Essentialย 
- At least 7 years of relevant professional experience, which includes managing communication and training to 500 end users in the context of digital transformations, proven success developing training for Finance, Procurement, and HR function.ย 
- Experience creating sustainable knowledge transfer processes;
- Background in leading multi-phase training programs for complex deployments;
- Experience in delivering training in hybrid mode.

- History of collaborating with technical and business teams.ย 

c) Languageย

6. Duration of contract and payment

- Initial contract duration is 6 months, from September 1st, 2025 to February 28, 2026 renewable depending on performance, needs and budget.ย 

- Applicants are requested to provide an indication of their remuneration expectations of a daily rate in either Swiss francs, Euros, British Pounds or USD.ย 

- Payment will be made on a monthly basis, subject to satisfactory completion of services and deliverables. ย

7. Additional information

ICS providers fall outside the coverage of employment contracts for WIPO Staff members and are not subject to the WIPO Staff Regulations and Rules. The ICS provider has no entitlement to vacation or sick leave (except for WIPO official holidays), or to medical insurance or a staff pension.ย
