    Organizational Setting and Reporting Relationship

    The position of Secretariat Analyst is assigned to the Information Access Unit (IAU) in the Office of the Secretary (SEC). SEC provides strategic and operational support to the ADB, the Board of Governors, and the Board of Directors. IAU oversees the editing, circulation, classification, disclosure, and management of Board papers. You will be based at our headquarters in Manila, Philippines.

    You will report to the designated International Staff.

    Your Role

    As a Secretariat Analyst, you will provide analytical, technical, and administrative support for the circulation and public disclosure of Board papers. You will also help to improve the flow of documentation and the implementation of the Access to Information Policy.

    You will:

  • Review documents submitted for circulation to ensure that Board papers are in line with ADB standards.
Provide guidance to Staff on procedures and systems for circulating papers to the Board. Coordinate with Staff and team members to ensure the timely circulation of Board papers. Review requests to access Board papers and ensure that information sharing follows the administrative order on information classification (AO 4.17). Review external requests for information based on the Access to Information Policy Coordinate with ITD to develop compliance reports for departments. Support documents management and information classification of Board documents. Coordinate with ITD to maintain accuracy and consistency of the Board Paper Library and associated systems. Provide inputs to new systems and work processes, seek information about new situations, share ideas for how work can be completed more effectively, and help colleagues adjust to changes. Provide support to the management of events, including the Annual Meeting of the Board of Governors, as needed. Provide administrative support to Board Committee meetings, as needed. Support the department's activities, projects, and initiatives, as needed.

Qualifications

You will need:

Bachelor's degree in business administration, communications, or related fields. At least 5 years of relevant experience. Excellent command of written and spoken English. Excellent proofreading skills. Proficient in standard software programs used in multilateral organizations. Work collaboratively within teams as constructive team member and coordinate across teams. Demonstrated ability to work with a range of stakeholders. Demonstrated client orientation; sensitized to working in a diverse and multicultural environment.
