National UN Specialist Volunteers in Saudi Arabia are entitled to: - Monthly Volunteer Living Allowance (VLA) in the amount of SAR 14,120.66 - Entry Lumpsum USD 400, - Annual and learning leaves; - Free Medical and life insurance; and - Free access to different learning platforms.
Task DescriptionUnder the direct supervision of the Admin Associate at the duty station, the national UN Volunteer specialist will Join the TCP- OHCHR team to support and assist its work with international organisations, UN agencies, CSOs and the national counterpart. His/her roles will be as follows. Key Responsibilities: • Provide administrative support in the areas of procurement, administration, human resources, and finance, in addition to maintaining personnel records for each staff member on the shared drive. • Supports procurement activities for assigned projects, including the purchase of goods, services, and works of a general nature. • Assists in preparing the annual procurement plan, coordinates with programme divisions on planning and contracting, reviews technical specifications for completeness and accuracy, and provides administrative support in emergency procurement and response. • Assists staff and requisitioning units with procurement policies and procedures, technical specifications, pricing, and product/service availability, including identifying suitable substitutes or alternatives to reduce costs; ensures compliance with the UN Procurement Manual and procedures. • Assists in vendor evaluations by preparing and reviewing solicitations, bids, and proposals to ensure competitiveness, quality, and compliance with requirements, supporting award recommendations in the best interest of the Agency. • Assists in procurement documentation by compiling and verifying data, preparing supporting documents, and recommending approval of contracts, long-term agreements, or purchase orders; supports submissions to the Contracts Committee when required. • Supports contract and vendor management by monitoring delivery schedules, adherence to agreements, and contract lifecycle activities; assists in vendor performance evaluations and addresses related issues in coordination with requisitioning units. • Assist in general administrative matters relating to visas, licenses, and security; provide advice and ensure administrative support as required. • Provide general administrative support: assisting with correspondence, managing calendars, scheduling meetings, and coordinating travel arrangements. • Assist in preparing meeting agendas, taking minutes, and distributing relevant documentation, in addition to coordinating logistics for meetings, including room reservations and equipment setup. • Assist in the requisition of office supplies and equipment and arranging for control of distribution and maintenance of appropriate inventory records. • Maintain and organise files, records, and databases, ensuring efficient retrieval and storage of information in the shared drive. • Support the planning and organisation of conferences, workshops, and other events, including logistics, participant coordination, and preparation of event materials. • Assist with Information Communication Technology basic functions in the office. Furthermore, UN Volunteers are encouraged to integrate the UN Volunteers programme mandate within their assignment and promote voluntary action through engagement with communities in the course of their work. As such, UN Volunteers should dedicate a part of their working time to some of the following suggested activities: • Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and take an active part in UNV activities (for instance in events that mark International Volunteer Day); • Be acquainted with and build on traditional and/or local forms of volunteerism in the host country. • Provide annual and end-of-assignment self-reports on UN Volunteer actions, results, and opportunities. • Contribute articles/write-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc. • Assist with the UNV Buddy Programme for newly arrived UN Volunteers. • Promote or advise local groups in the use of online volunteering or encourage relevant local individuals and organisations to use the UNV Online Volunteering service whenever technically possible.

Living conditions and remarksAs this is a national UN Volunteer assignment, the UN Volunteer will be responsible for arranging his/her own housing and other living essentials. National UN Volunteers are part of the malicious insurance plan.
