ROLE SUMMARY Reporting to the Chief People Officer (CPO), the People Operations and Administration Coordinator sits in the Global People Department and will provide executive administration support to the CPO and the Global People Department to ensure the team can efficiently accomplish critical tasks and company initiatives. The People Operations and Administration Coordinator will take on special projects that require research and analysis and provide recommendations for decision-making. The People Operations and Administration will have high access to confidential and business information. He/she/they will be expected to maintain high confidentiality and discretion concerning all matters, data, and documents. Manage the Chief People Officerโ€™s daily calendar, including scheduling meetings, confirming appointments, writing itineraries, and arranging travel details. Draft and develop branded and attractive presentations; edit or draft the Departmentโ€™s announcements and other communications from the CPO. Maintain discretion and professionalism in the CPO Executive Office. Think creatively to enhance the People Department's connection with stakeholders through events, collaboration, or relationship management. Promptly respond to queries in a friendly, caring, and professional manner. Produce quarterly recurring and ad-hoc executive reports and data analysis that reflect the Global PD key performance indicators (KPIs), dashboards, and progress against plans/objectives. Keep track of CPO projects and follow up with CPO and other stakeholders to meet targeted outcomes. Review documents that require CPO approval for accuracy and timeliness. Reconcile monthly credit card reports for the CPO and review them to approve submitted expenses from direct reports to the CPO. Global People Operations Support: Coordinate ad hoc and recurring Global People Team and Global SMT Directors meetings. Coordinate and communicate agenda and action items prior to meetings. Follow up by providing meeting notes and action items after meetings. Conduct special projects as requested by the Global Directors. This includes, but is not limited to, conducting, networking, and analyzing data. Coordinate virtual and onsite Global People Department and Global People Directors events, gatherings, retreats, etc., including agenda and logistics support. Provide support and assist with coordination of U.S. People Department virtual and onsite events, as needed. Facilitate the People Departmentโ€™s team-building events. Schedule, coordinate, and execute virtual and/or onsite quarterly -for the Global and U.S. People Department functional teams. Strengthen global directorsโ€™ communications with country offices' HR managers and regional PD teams through regular communications, collaboration platforms, and events. Facilitate department procurement processes and advise the Global People Department. Coordinate and manage operational vendor contracts for the Global People Department. Provide support and guidance to the Global and U.S. People Department functional teams on vendor contracts, as needed. Hold oneself accountable for achieving annual work plans and goals and collaborate with colleagues to help them achieve their goals. Invest in oneself professional development. Stay connected with sector and national/international Employee Relations/HR forums. Own and manage the calendar of events for the Global People Department. Communicate these events to confirm dates and meet with the Global Communications Department bi-weekly to discuss the timing of deploying internal messages and communications. Take and communicate meeting minutes. Keep track of the PD Engagement Action Planning Status; provide monthly and quarterly reports on progress to the Global People Department. Global Employee Relations Support: Support the CPO and People Department in conducting surveys, work plans, organization charts, and other ER reports. Create new user accounts for CSI Watchdog Counter Terrorism System and ensure Counterterrorism Checks are done on time by the relevant recruiters. Complete quarterly Counter Terrorism Reports Monitor exit interview surveys, evaluate the need for further investigations, and forward them to the appropriate people director. Develop the global monthly employeesโ€™ anniversary reports for executive office. Develop semiannual report for the board book. Employee News: Update the intranet (Corral) with new hires, employee changes and terminations. Minimum Requirements: BA/BS degree in Human Resources, Business Administration, or a related field. Strong Communication (writing, oral, impersonation) skills in the English language. Ability to create reports, presentations, and board reports in collaboration with stakeholders. A minimum of 5-7 years of experience in administrative support experience with 3 years of Generalist/Human Resources experience. Ability to perform intermediate data analysis in Excel and design charts and dashboards Excellent interpersonal and collaboration/networking skills. Technical mindset and passion for the latest innovations in technology Ability to handle sensitive and confidential information appropriately. Must be comfortable operating and working with virtual teams within a matrix structure. Comfortable with change and working with evolving department and organization. Self-motivated, agile, and detail-oriented professional with exceptional organizational, interpersonal and conflict resolution skills. Strong multicultural and cultural-sensitivity skills. Comfortable working with stakeholders at all levels, from entry to executive levels. Salary Information: The expected base salary range for this position is $65,000 to $75,000 USD annually. Placement within the range will be based on the experience and competency level of the candidate.
