Under the overall supervision of the Senior Operations Associate and direct supervision of the Senior Movement Operations Associate, the incumbent willย have the following duties and responsibilities:
Support daily movement management and arrival planning processes as per the UK resettlement programmes in close coordination with UK reception stakeholders and IOM country offices to facilitate safe and dignified travel for beneficiaries. Assist with coordinating the mass import of ready-for departure cases intoย IOMโs proprietary tools and systems; support data analysis based on final destination; assist with booking plans for individual cases; enter data and assign cases to pre-flights in MiMOSA; prepare advance booking notifications (ABNs); and follow up on medical travel requirements and other programme-specific travel requirements. Liaise with IOMย country offices to check readiness of travel for beneficiaries traveling to the United Kingdom under all UK resettlement schemes. This includes collecting and sharing information for monitoring and reporting on Key Performance Indicators (KPIs) related to UK visa facilitation, host country visa extensions and exit permit processes. Provide support for other pre-departure processes as required Assist in organizing and completing bookings for IOM beneficiaries or staff traveling on duty, in a timely manner and in accordance with the Handbook of IOM Tariffs (HIT) and SOPs. Share travel information with internal and external stakeholders.ย Where movement management involves charter flight operations, work in coordination with the supervisor to follow up on preparation of accurate flight manifests, assigning of appropriate escorts, clearances and issuance landing permits and all associated paperwork to facilitate smooth charter flight operations. Assist with assigning escorts to UK-bound movements in accordance with UK Resettlement programme requirements and support the regular updating of SOPs on escorting duties and organizing basic briefings or information-sharing for staff and external providers on escorting procedures.ย Receive and log incident reports (e.g., missing luggage, medical emergencies, escort issues, transit problems) via email and enter them into the UK Operations Incident Report Database. Follow up as instructed. Maintain accurate records of operational files and related data on arrivals and visa processing, including compiling requested statistical information and ensuring that movement management and arrival databases are regularly updated. Perform data entry and maintain movement data files in the respective management tools. Verify that data sent from IOMย country offices is complete and aligned with donor requirements, and record ticket orders for Inventory Reports. When required, assist the team providing airport arrival and transit support, includingย meeting the beneficiaries at arrival gates and helping them with arrival procedures at UKย airports. Support the preparation of briefing documents and reports on movement management, visa facilitation and arrivals activities, and contribute basic inputs for project monitoring and reporting as requested.ย Demonstrate an understanding of applicable SOPs, related systems and databases, and IOM Standards of Conduct. Maintain confidentiality and integrity of all relevant paperwork in line with SOPs, Standards of Conduct and relevant data protection rules.ย Apply RMM Protection Mainstreaming Minimum Standards in daily tasks and remain professional, impartial and unbiased during all interactions with migrants and colleagues per the IOM Standards of Conduct and instruction on the prevention of sexual exploitation and abuse (PSEA).ย Alert the supervisor or management of any issues of non-compliance to SOPs, RMM Protection Mainstreaming Minimum Standards or IOM Standards of Conduct by IOM personnel or partners. Undertake duty travel as needed to provide logistical and operational support during meetings, trainings and other programme activities, as instructed. Perform other related duties as assigned. High school diploma with five years of work experience; orย Bachelorโs degree in social science, International Relations, Regional Studies or a related field from an accredited academic institution with three years of relevant work experience. ย Accredited Universities are those listed in the UNESCO World Higher Education Database. ย Experience
Familiarity with UK resettlement schemes.ย Prior experience in programs including movement operations component, particularly in resettlement programs within humanitarian organizations.ย Prior experience in working with airlines or transportation industry.ย Capacity to liaise with airlines, airport authorities and transportation service providers. Demonstrated proficiency in IOM-RMM proprietary tools and systems and experience with handling complex cases and workflow in movement management is an advantage.ย Proven ability to work with vulnerable migrants and refugees or unaccompanied children.ย Experience of working refugee/migrant sector organisations preferred. Computer/software literate with good knowledge in Microsoft Office. Strong interpersonal and communication skills. Attention to detail and ability to organize. Self-motivated, and able to use own initiative and follow instructions when directed.ย Flexibility and willingness to work occasionally outside of regular working hours, including weekends, when required. Languages ย IOMโs official languages are English, French and Spanish. Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments. ย
For this position, fluency in English is required (oral and written).ย
Working knowledge of another official UN language (Arabic, Chinese, French, Russian, and Spanish) is an advantage.
Proficiency in Arabic an advantage. Proficiency in Dari, Pashto a particular advantage for this role.
