Provide support and coordinate the preparation and submission of department and division budget. Process budget transfers in BMCS upon approval of budget owners. Prepare and coordinate the submission of year-end accruals. Prepare and submit requests for payments (RFP) in Oracle Self-Service. Prepare and submit requests for representation expense budget in Oracle Self-Service. Coordinate with division budget focal for any budget concerns and requirements.

b. Work Program

Support in the preparation and compilation of departmental and division workplan. Coordinate the status of the implementation progress of front office workplan with concerned staff. Ensure that the status and updates are reflected in the monthly progress reports. Assist in compiling and consolidating inputs for WPBF requirements.

c. PPFD Events

Provide support in organizing department and/or division events such as retreats, townhalls, team building activities, strategy sessions, recognition awards presentation, and celebration of success events. These include sourcing resource person, coordinating venue, food and IT requirements, preparing presentations and recognition award certificates and processing request for payment RFPs. Coordinate with departments concerned (i.e. BPMSD, CSD, etc.) for budget requirements and logistical arrangements. Coordinate budget preparations and ensure facilitation follows applicable guidelines. Check budget availability and monitor use of relevant budget source. Prepare and submit budget requests and post-events requirements and expense reports to BPCT and BPRS for events budget of which they manage.

d. External training

Facilitate the solicitation of external learning requests from PPFD staff. Ensure that the requests received follow the EL guidelines and courses/programs are not available in in-house programs and online learning platforms such as Indigo, Harvard ManageMentor, LinkedIn Learning and Corporate Finance Institute. Compile all external learning requests for DDGโ€™s review and prioritization. Manage and monitor external learning budget allocation. Coordinate with VPAC Office and BPCT on external learning issues and updates. File RFPs in Oracle Self-Service to reimburse training/course fees advanced by PPFD staff.

e. Others/Ad hoc

Answer questions and clarifications of PPFD staff relating to budget, external learning, PPFD monitoring reports, and other concerns. Perform other tasks assigned, as required.

Qualifications

You will need:

Bachelorโ€™s degree major in economics, business administration or related fields. At least 5 years of relevant professional experience. Working knowledge of assigned area and with ADB policies, guidelines and procedures. Ability to deal with technical aspects of the work including basic research and analytical requirements. Able to collect, maintain and manipulate data and information from multiple sources. Proficient in ADB standard software programs and information technologies. Able to liaise and work with staff within own work location and throughout ADB. Collaboratively work with teams as a constructive team member. Excellent verbal and written communication skills in English. Please refer to the link for ADB Competency Framework for technical local staff level 3.
