Job Purpose
Under the general supervision of the Senior Specialist for Stakeholder Engagement, the Stakeholder Engagement Officer serves as the central lead for IRRIโs reception and visitor facilitation services. This role goes beyond welcoming guestsโit ensures a coordinated, professional, and seamless visitor experience aligned with IRRIโs standards and security protocols. The incumbent is responsible for monitoring and improving the implementation of the Visitor Management Systems under both the Stakeholder Engagement Unit and HSSE, ensuring accurate and timely data reporting, and overseeing the encoding and management of visit records in Salesforce. The role also contributes to process optimization and supports the planning and coordination of high-level visits.
This position will be based at the IRRI Headquarters, Los Baรฑos, Philippines and may only be filled by permanent citizens of the Philippines.

Roles and Responsibilities
โข Lead and coordinate the reception of external guests to ensure a professional, secure, and pleasant visit experience.
โข Act as the institutional focal point for visitor management, ensuring each visitor is guided to the appropriate staff or unit.
โข Ensure consistent implementation and improvement of the Stakeholder Engagement and HSSE Visitor Management Systems, with full compliance with required fields and procedures.
โข Extract, analyze, and report data to support internal reporting and decision-making.
โข Maintain and update visit records in Salesforce and serve as the point person for data quality control.
โข Recommend enhancements to visitor protocols, workflows, and reporting to improve efficiency and stakeholder satisfaction.
โข Liaise with internal units to ensure aligned visitor handling processes.
โข Provide advisory support to other units regarding visitor-related concerns and procedures.
โข Manage sensitive or high-level visitor engagements (e.g., government representatives, donors, CGIAR partners), ensuring protocol is followed.
โข Communicate proactively with staff to coordinate and prepare for upcoming visits.
โข Monitor engagement processes and generate timely, accurate data and performance reports.
โข Ensure visitor information is complete, secure, and consistently logged in both the Visitor Management System and Salesforce.
โข Provide reports, summaries, and statistics on stakeholder visits to support institutional communication, reporting, and audits.
โข Contribute to the training and orientation of junior staff or backups for reception duties and systems handling.
Qualifications
โข Bachelorโs degree in Hospitality Management, Business Administration, Communications, or a related field
โข At least 2-3 years of experience in visitor reception, stakeholder engagement, or administrative coordination, preferably in an international or multicultural setting
