The Position:ย
The Programme Assistant contributes to the implementation of UNFPAโs 9th Country Programme (2024-2028) by providing technical and administrative support in the day-to-day management of UNFPA programmes and projects. The PA will be primarily responsible for assisting the Humanitarian Unit in ensuring that UNFPA and implementing partner-executed work plans are prepared and implemented in accordance with the vision and technical direction of the CP and consistent with UNFPA organizational policies and procedures. S/he contributes to the generation of substantive knowledge by compiling, synthesizing, and analyzing relevant information from programme implementation to inform management action. S/he will help coordinate with government, non- governmental organizations, civil society, gender/youth groups, multilateral and bilateral donor agencies, United Nations agencies, and other development/humanitarian organizations under the day-to-day guidance of the Humanitarian Programme Coordinator.

Job Purpose:ย
You would be responsible for:ย
Specific Objectiveย
Under the overall guidance of, and direct supervision of the Humanitarian Programme Coordinator,ย the Programme Associate will provide essential support to the UNFPA CO Humanitarian Unit.ย
Perform routine programme support activities, as detailed below:ย
โ Draft and review routine correspondence and documents and make routine follow-up.ย
โ Provide administrative support in organizing, arranging, and coordinating various meetings ofย the Programme teams with staff, implementing partners and other offices.ย
โ Maintain and keep administrative files, logs, inventories and update records in prescribed formatย for subsequent use.ย
โ Maintain and keep current registers and control plans on the status of projects at the formulation,ย implementation and operational stages.ย
โ Perform programmatic activities as required by the Programme Humanitarian Coordinator.ย
โ Conduct a preliminary review of annual work plans, work plan monitoring tool and Fundingย Authorization and Certificate of Expenditures (FACE) forms of UNFPA-supported projects toย check on the accuracy of computation and project/fund codes.ย
โ Enter work plan information in Quantum.ย
โ Maintain and keep work plans, quarterly work plan monitoring tool, FACE forms andย administrative files as well as update records of UNFPA-supported projects in prescribed formatย for subsequent use.ย
โ Raise requisition in Quantum for processing of payments to vendors/suppliers.ย
โ Prepare travel-related documents of members of the programme team and ensure timely approvalย of travel documents.ย
โ Perform any other duties as assigned by the supervisor.ย
Qualifications and Experienceย
Education:ย ย
Secondary Education with six (6) years of work experience or Bachelorโs degree with three years ofย relevant work experience.ย
Knowledge and Experience:ย
โ Relevant experience in administration, finance and project managementย
โ Experience in finance monitoring will be an advantageย
โ Proficiency in MS Excel, Word, PowerPoint and other relevant computer applicationsย
โ Satisfactory writing and communication skillsย
โ Ability to organize work effectively and to meet planned deadlinesย
โ Ability to work harmoniously with persons of different backgrounds in a multiculturalย environmentย
โ Experience working with government implementing partnersย
โ Familiarity with UN policies and principles will be an advantageย
