UN Women Indonesia Country Office has dedicated work with a diverse array of partners to end violence against women and girls. Efforts in the country include: legislative reform to uphold human rights and victim-centered approach in the service delivery, and hold perpetrators accountable; strengthening of quality, coordinated, multi-sectoral services for all survivors; interventions specifically targeted vulnerable groups such as women migrant workers, women living with and affected by HIV/AIDS and key population; tailored approaches to sexual harassment and sexual violence towards women in public spaces and online; and support to evidence-based approaches to prevent it from happening in the first place, especially through behavior and social norms change.ย 

Against this backdrop, UN Women Indonesiaโ€™s Ending Violence Against Women (EVAW) unit is recruiting a National Consultant Programme and Administrative Assistant to provide programme, administrative, and logistical assistance for the smooth programme implementation. Reporting to the Programme Analystย EVAW, the consultant ย will work with and provide support to the members of the EVAW team in the development and implementation of effective programmes, consistent with UN Women's rules and regulations. She/he will work in close collaboration with the programme and projects staff and UN Womenโ€™s Operations team to ensure consistent service delivery. ย 

Description of Responsibilities

1. ย Provide administrative and logistical support to the EVAW unit

Provide administrative support in the preparation of programme work plans, budgets, and proposals on programme implementation arrangements, including tracking the delivery of funds Provide administrative support to the executing agencies / responsible parties on routine delivery and reporting of programme supported activities and finances Provide administrative support for the audit of programmes/ projects and support implementation of audit recommendations Undertake logistical, administrative and financial arrangements for meetings, webinars, conferences, workshops, events, and missions Make travel arrangements for the Programme Team, including travel requisitions and claims, making hotel reservations, prepare travel authorizations, process requests for visas, identity cards and other documents, collect information for DSA, as required Assemble briefing materials and prepare power-point and other presentations, in collaboration with the Programme team Draft minutes in meetings, as delegated Provide administrative support in the preparation documents for payment process for LTA, vendor, consultants, etc. Provide administrative support in the preparation of procurement of services or goods arrangements, support the preparation for Request for Quotations, ITBs or RFPs documents, receipt of quotation, bids or proposal, their preliminary evaluation Other duties as assigned.

2. Provide financial management support to the EVAW unitย 

Support financial expenses monitoring of the program/projects under EVAW portfolioย  Provide support to budget revisions, project awards and status revision Provide support in the preparation, review and finalization of FACE forms (working closely with retainers)

3. Provide administrative support to project documentation and knowledge management

Organize and maintain filing system to document project files and ensure a functional record-keeping system Maintain mailing lists and database of project stakeholders and beneficiaries Identify sources, and gather and compile data and information for the preparation of documents, guidelines, speeches and position papers, in collaboration with the Programme team Organize, compile, and process documentation and information related to the project, and programme team as inputs to various databases and documents

III. Required Qualification

Education and Certification:

Completion of secondary education is required.ย  Bachelorโ€™s degree in Business of Public Administration, economy or related fields is an asset.ย 

Experience:

At least 3 years of progressively responsible experience in administration or programme and project management or support. Prior UN experience of running secretarial and administrative functions is an asset. Prior experience in using QUANTUM is desirable.ย  Experience working in a computer environment using multiple office software packages. Previous experience in the UN System is considered an asset.ย  Experience in supporting a programme team is an asset.

Languages:

Fluency in English and Bahasa Indonesia is required with an emphasis in strong writing skills.ย
