Specific responsibilities of this position will include:
Maintain supervisor\u2019s calendar, setting appointments and providing briefings on each day as required. Organize travel arrangements for supervisor, including purchase of airline tickets, hotel reservations, as well as creating and maintaining a schedule for all trips. Respond to incoming calls and requests. Provide general administrative and financial support to the Program, including but not limited to: drafting and management of correspondence, researching information, preparation of payments and general administrative support. Review, analyze and register all financial transactions related to various financial processes, including expenses, petty cash fund, advances, reimbursements, purchases, credit card payments and payments to suppliers. Verify that all records and documents related to financial transactions comply with government (i.e. tax) requirements and internal CIMMYT policy and requirements. Provide monitoring and support in all purchases, inventory requirements, vehicle assignments and routine matters as requested by supervisor and/or assigned contact point. Provide financial support as required, including preparing expense reports, payment advances and reimbursements. Provide support in the creation and coordination of processes and procedures that allow streamlining administrative operations of the program, and to create a culture of continuous improvement of processes Other support tasks as required, including filing, teleconferences and internal administrative logistics.Requirements
BA/BS degree in Administration, Accounting or related field. 1 year progressive experience in a corporate and non-profit environment Proficient in English, including good presentation skills Proficiency in Microsoft Office and advanced internet skills Strong level of cultural sensitivity to understand the needs of all staff and partners High level of responsibility, confidentiality and discretion Ability to work with different nationalities, under pressure and as a member of diverse work team
