โโโโThe International Council for the Exploration of the Sea (ICES) is an intergovernmental organization that advances and shares scientific understanding of marine ecosystems and the services they provide and employs the resulting knowledge to generate state-of-the-art advice on meeting conservation, management and sustainability goals. ICES international network comprises more than 6,000 scientists from over 800 marine institutes in 19 member countries and beyond.
ICES Secretariat is seeking applications for the full-time role of Information Officer. You will be responsible for maintaining and developing ICES library and publications database, reporting on readership and library usage, collaborating in bibliometric studies, and upholding publication best practices and the integrity of our publications record. Further, you will be responsible for developing ICES publication templates, collaboratively exploring technological innovation in ICES publication processes, and overseeing the digitization and cataloging of ICES historical publication archives. As ICES is developing a new website and communications plan, you will also help to strengthen the accessibility and visibility of our publications to the global scientific community.
You will liaise with external partners and keep up to date with changes, challenges, and opportunities related to our publication databases. The role also involves training and assisting library users and troubleshooting issues.
We offer a job in the heart of Copenhagen where you'll join a close-knit Communications and Publications team and have lots of opportunities for sparring and skill development. Our wider Secretariat is made up of approximately 80 staff who represent over 30 different nationalities, and our meeting facilities are regularly full of visiting experts from around the world.
Responsibilities
Working in close collaboration with the Communications and Publications team, your main work tasks will include:
- Maintaining and developing ICES library and publications database
- Liaising with our library platform provider and other external partners, keeping track of platform updates and opportunities, and overseeing the planning and execution of improvements to our publication databases
- Tracking and analyzing publications metrics, providing reports for internal and external use, and collaborating in bibliometric studies on past and current patterns in ICES science and publishing
- Upholding publication best practices, maintaining metadata standards and compatibility with other systems, maintaining and developing ICES document templates, and contributing to internal knowledge management practices and processes
- Providing training and support to internal and external library users in accessing, navigating, and publishing content on the digital library platform, and troubleshooting as necessary
- Coordinating the digitization and cataloguing of ICES historical archive and in-house literature collection
- Conducting ad hoc tasks as needed, as assigned by the Lead Editor or Communications and Publications Team Lead
โQualifications and Experience
Our ideal Digital Librarian is someone who can work both independently and in close collaboration with colleagues and external partners. Further requirements for this position include:
- Relevant professional experience with digital library platforms or repositories
- Knowledge of publication data management, open access publishing principles, metadata standards, and best practices around DOI and other permanent identifiers
- Demonstrable experience developing document templates and with Microsoft Suite. Experience with macro-enabled documents is a plus
- Experience using APIs, data processing, and visualization tools such as Power BI. Programming skills in R or Python are a plus
- Good communication and collaboration skills, with the ability to train and support diverse user groups
Terms of Appointment
The appointment will be full-time (38 hours per week), starting in May 2026, for a four-year contract period with the possibility of extension.
ICES Secretariat staff enjoy privileges and immunities pursuant to the Host Agreement between the Government of Denmark and ICES. The salaries of ICES staff are exempt from Danish income tax and are based on, but not identical to, the United Nations common salary system. This role is classified as C4, step 1 which equates to a gross monthly salary of DKK 34,453.90 in year 2026, with eligibility for an annual step increase. A tax-free pension scheme is also available, to which both the employee and ICES contribute (7.9% and 15.8% of salary, respectively).
