Under the overall supervision of the Head of Sub-office in IOM Marshall Islands and the direct supervision of Administrative and Finance Officer in Majuro, Republic of Marshall Islands and in close coordination with the Resource Management Officer in Pohnpei, Federated States of Micronesia, the successful candidate will be responsible and accountable for providing general and specific administrative support in compliance with relevant IOM financial rules, regulations and procedures.

  1. Serves as focal person for coordination of the day-to-day administrative and financial needs of Majuro, Marshall Islands.
  2. Prepares requests for payment and ensure that: a) Claims are valid (services are rendered, or supplies are delivered); b) Supporting documents are complete; and c) Approvals/authorizations for payment are obtained.
  3. Prepares and maintain cash balance reports for petty cash and cash in bank accounts. Ensure that filings of documents are in proper order.
  4. Calculate/forecast weekly/monthly funding requirements.
  5. Calculates the settlement of travel expense claims in the sub-office.
  6. Monitors the movements of IOM assets and ensure proper documentation is kept. Maintain an up-to-date asset inventory.
  7. Respond to inquiries and draft correspondence on a variety of administrative and finance matters.
  8. Provide guidance and advice to staff in the sub-office on administrative and financial guidelines and procedures.
  9. Suggest improvements to internal controls; provide inputs for new procedures to complement or to adapt existing ones taking into consideration the specific needs of the office.
  10. Work in compliance of IOM's policies and procedures including prevention of sexual exploitation and abuse and promotion of a respectful work environment.
  11. Perform such as other duties as may be assigned.

    Education:

  12. University degree in business administration, management, finance, accounting or related field from an accredited academic institution. with three years of work experience; and/or
Completed high school with five years of work experience.

Experience:

Work experience as a finance assistant or similar role is preferred.Work experience from an international organization is an advantage.Experience with oracle-based ERP system is an advantage.

Skills:

Good knowledge of accounting proceduresExcellent written and verbal communication skillsProficient in Microsoft Office applications such as Word, Excel, PowerPoint, Outlook and MS Teams.Attention to details, with an ability to spot numerical errorsOrganizational and time management skills.
