The Pension and Endowments Department (PEN) is responsible for the financial management and administration of the World Bank Group's funded benefit plans, including the retirement scheme - the Staff Retirement Plan, the retiree medical and life insurance programs - the Retired Staff Benefits Plan, and other ancillary benefits. Financial management includes asset management responsibilities and actuarial support.ย  PEN manages about $41 billion US dollars invested across a range of asset classes, from fixed income to public equities to private equity, real assets and absolute return strategies. The Pension Finance Committee, appointed by the Bank Group President and chaired by the Chief Financial Officer, has oversight responsibility for the financial management of the plans. PENโ€™s responsibilities also include the delivery of technical assistance on multi- asset class investment management to pension plans, endowments and funds for the future, and the management of the Pension Administration function. PEN identifies, selects, evaluates, and monitors investments, mainly through outside managers, globally.

The Pension Middle Office team (PENMO) under PEN is responsible for providing a full range of functions supporting these investment activities, including the following: i) pension plan operational activities, ii) pension plans financial statements, iii) pension investment performance and attribution, iv) private asset portfolio administration, v)asset class exposure monitoring, vi) investment asset pricing and valuation, and vi) third-party clientsโ€™ reporting.

Roles & Responsibility:

The selected candidate will support the post investment documentation process. They will work with PENMO team members and will coordinate with other teams including PENIN and LEG.ย 

The main responsibilities include but are not limited to the following:

โ€ข Track all incoming mails from fund managers in various mailboxes, ensure completeness and full coverage of all communication received in these mailboxes
โ€ข Classify the incoming mails and ensure that each mail is worked upon/allocated within the stipulated timelines
โ€ข Maintain a log with the list of queries received, deadlines, and status of each request
โ€ข Assist in the preparation of documents such as FATCA, tax exemption, KYC/AML, and consent/election requests
โ€ข Coordinate with LEG and PEN for reviews, additional documents, and any sign offs that may be required
โ€ข Follow up on pending items/responses and ensure timely action on each email within agreed timelines.
โ€ข Create and maintain a database of executed documents
โ€ข Understand the nuances especially legal aspects of the communication or documentation and act upon them accordingly.

Selection Criteria

โ€ข Degree in a general business-related field with a minimum of 2 plus years of related experience. Candidates with para-legal experience and/or similar experience in investment middle office of a multi asset class investment entity would be at an advantage.
โ€ข Experience with processing investment related legal documentation.ย  Familiarity with legal status of international organizations a plus. Basic understanding of economic and financial principles and terminologies.
โ€ข Candidates who are Notary Public in DMV area will be preferred.
โ€ข Proficiency in editing documents using Adobe, and Microsoft Office especially in Microsoft Excel.
โ€ข Basic knowledge of legal and financial terminologies would be a plus.
โ€ข Demonstrated ability to handle and analyze large amounts of data, to streamline processes to deliver accurate and useful reports to clients and carry out critical control procedures to a high degree of professionalism.
โ€ข Demonstrated ability to maintain relationships and communications with key stakeholders.
โ€ข Creative thinker and quick learner with initiative, drive, and attention to detail.
โ€ข Proven capacity to multi-task, deliver results, and respond quickly and effectively to requests. Ability to work under pressure and resolve conflicts.
โ€ข Excellent communication -- both verbal and written skills are required. Experience in giving presentations and training is desirable.
โ€ข Good team player with strong interpersonal skills and commitment to work in a team-oriented, multi-cultural environment.
โ€ข Demonstrated ability to collaborate across multidisciplinary teams to foster strategic business partnerships.
