Location: Employees in this role can work from our Boston, MA office, remotely within the U.S. or hybrid of these two options. Location in Boston, MA area is preferred.

Position Overview:
Partners In Healthโs (PIH) Resource Management Branch is looking for a Coordinator to provide administrative, systems, and project support to PIHโs Finance and Grant Management and Compliance (GMC) teams. The Coordinator serves as an integral part of the Finance and GMC teams, which work to ensure responsible and effective fund management at PIH, through strong practices and reasonable policies and procedures.
Primary responsibilities include coordination of the administrative systems of the Finance and GMC teams in hiring, training, compliance, and award management, and assisting with annual registration and filing processes. The Coordinator proactively identifies and implements improvements to administrative systems and processes that support the departmentโs efficiency and effectiveness. The position presents an excellent opportunity to gain experience in finance and grant management and compliance within the global health sector.

Responsibilities:
- Support overall coordination of the administrative systems of the Finance and GMC teams. This includes identifying and implementing ways to improve administrative systems and engaging team members in the development of new or improved systems, processes, and tools.
- Manage the Finance and GMC MS Teams Groups (an online collaboration tool) and SharePoint pages. This includes organizing and maintaining files and facilitating updates and improvements as needed.
- Coordinate internal and external meetings, trainings, and workshops, both virtual and in-person. Communicate effectively with participants, facilitate agenda development, and manage schedules, budgets, and related documentation. Additionally, oversee booking language interpretation, meeting platforms, and note taking.
- Prepare and edit communications and PowerPoint presentations. Draft and format departmental communications, workplans, trackers, and progress reports. Create and distribute documentation related to finance and grant management and compliance. Support in drafting and disseminating departmental and organizational policies, procedures, and guidance documents. Assist with registration processes as needed.
- Facilitate communication and collaboration among the Finance and GMC teams and between those teams and other teams at the U.S. Coordination Site and PIH care delivery and academic sites.
- Participate in departmental and cross-functional project teams.
- Perform other related tasks as assigned to support the overall functioning of the Finance and GMC teams.
Qualifications:
- Bachelorโs degree in public health, public administration, international development, or related field.
- At least 2 years of relevant experience, including experience in administration.
- Excellent communication skills; ability to compose and edit correspondence, reports and general documentation; ability to file and maintain records.
- Exemplary interpersonal skills; ability to collaborate effectively with culturally diverse staff across departments and country.
- Strong organizational and planning skills, project planning and project management skills.
- Proven ability to set priorities, meet deadlines, with minimal supervision; ability to coordinate activities.
- Proficient in Microsoft Office Suite and working knowledge of MS SharePoint. Experience and comfort organizing and supporting meetings using virtual platforms.
- Experience working in non-profit organizations preferred.
- Interest in social justice is strongly desirable.
