Office/Unit/Project Descriptionย 

UNDP is the knowledge frontier organization for sustainable development in the UN Development System and serves as the integrator for collective action to realize the Sustainable Development Goals (SDGs). UNDPโ€™s policy work carried out at HQ, Regional and Country Office levels forms a contiguous spectrum of deep local knowledge to cutting-edge global perspectives and advocacy. In this context, UNDP invests in the Global Policy Network (GPN), a network of field-based and global technical expertise across a wide range of knowledge domains and in support of the signature solutions and organizational capabilities envisioned in the Strategic Plan.

Within the GPN, the Bureau for Policy and Programme Support (BPPS) has the responsibility for developing all relevant policy and guidance to support the results of UNDPโ€™s Strategic Plan. BPPSโ€™s staff provides technical advice to Country Offices; advocates for UNDP corporate messages, represents UNDP at multi-stakeholder fora including public-private dialogues, government and civil society dialogues, South-South and Triangular cooperation initiatives, and engages in UN inter-agency coordination in specific thematic areas. BPPS assists UNDP and partners to achieve higher quality development results through an integrated approach that links results-based management and performance monitoring with more effective and new ways of working. BPPS supports UNDP and partners to be more innovative, knowledge and data driven including in its programme support efforts in close coordination and thematic synergy with the Crisis Bureau (CB). One of the priorities for the GPN is to better map the competencies, experience and capacities of UNDPโ€™s global workforce, in order to tap the skills needed to implement multidisciplinary solutions to development challenges as well as those related to crisis prevention and recovery.ย 

The Front Office of BPPS is responsible for the smooth and seamless management of the substantive flow of information to and from BPPS, coordinating effective internal communications with BPPS teams, other Bureaus, the UNDP Executive Office, as well as communications with external partners. The Front Office plans and coordinates the BPPS Director and BPPS Deputy Directorโ€™s internal and external interactions and interventions based on priorities and agendas, in close collaboration with technical teams and other Bureaus as needed, ensuring the Director and Deputy Directorโ€™s successful provision of political leadership, strategic guidance, and managerial as well as programmatic priorities in full compliance with UNDPโ€™s mandate. The BPPS Front Office is also responsible for the effective coordination with the Chief of the Joint Directorate, GPN in the interpolation of activities and strategies with the Crises Bureau.

In close collaboration with the rest of the Front Office, the Coordination Support Analyst will liaise with BPPS teams, other Bureaus and the UNDP Executive Office on correspondence and other items that require action, ensure proper tracking of responses and monitoring of deadlines. In doing so, the Coordination Support Analyst will support the coordination, analysis and integration of substantive inputs from the various BPPS / GPN units into the work of BPPS, GPN and UNDP, on strategic and policy matters that are predominantly substantive and sensitive in nature.

Scope of Work

Ensure effective coordinationย 

Act as BPPS focal point for regular correspondence items from the Executive Office, tasking out to concerned teams in BPPS and processing responses and clearances in respect of deadlines. When appropriate, liaise with other Bureaus for coordinated responses.ย  Task out and monitor the timely submission of briefing notes from technical teams, and undertake a first review for suitability of content, template, length, for subsequent processing of the Special Assistants. Support BPPS engagement in global fora such as UNGA, HLPF, global Conferences, etc., as well as internal processes such as the Executive Board, for a smooth preparation and engagement of BPPS and of UNDP Senior Management.ย  Keep updated track records of status of submissions and deadlines to facilitate follow up, keeping the BPPS Front Office regularly updated.ย  Assist in the validation, analysis, reporting of progress against the Bureauโ€™s Annual Work Plan.

Ensure effective internal communications and knowledge management

Draft minutes/ summary notes of meetings and special sessions, design PPT presentations, draft meeting materials when requested, incorporating technical imputs as needed. Provide logistic support to the organization of staff meetings such as townhalls, retreats, workshops, board meetings, Open Office hours, etc. Proactively support the development and buy-in of AI-led tools for the benefit of BPPS colleagues, for example, for the development of briefing notes. Monitor the BPPS online tool of 2025 major global processes and events, following up with teams as needed to ensure the information is always up to date.ย  Act as focal point in the BPPS Front Office for GPN Digital Spaces, coordinating with GPN colleagues as needed and keeping the digital spaces up to date. Keepย  repositories of information (e.g. Microsoft Teams channels) regularly updated, ensuring information is properly organized, easily accessible to the right audiences, and regularly up.

Support external engagements of the BPPS Director and Deputy Director

Support mission planning and preparation for the Director and Deputy Director, ensuring that all needed materials are available on time, and following up with technical teams and communications colleagues as needed. Constantly track and monitor information to feed into reporting exercises of the BPPS Management, such as the Gender Compact between the BPPS Director and UNDP Administrator. Undertake research to support the development of talking points and presentations for BPPS Senior Management.ย  Perform other responsibilities Proactively familiarize themselves with strategic priorities of BPPS, such as the Moonshots of the current UNDP Strategic Plan, the UN High-Impact Initiatives (HII), etc.

The incumbent performs other duties within their functional profile as deemed necessary for the efficient functioning of the Office and the Organization

Institutional Arrangement

The Coordination Support Analyst will work under direct supervision of the Special Assistant of the BPPS Director and in close collaboration with the rest of the BPPS Front Office.

Minimum Qualifications of the Successful IPSA

Min. Education requirements

An Advanced university degree ( Masterโ€™s degree or equivalent) in Management, Communications, Economics, Business Administration, International Relations, Human Rights, Political Science, or other closely related area is required.ย  OR A first-level university degree (bachelorโ€™s degree) in the areas staed above, in combination with an additional two years of qualifying experience will be given due consideration in lieu of the advanced university degreeย 

Min. years of relevant work experience ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย 

A minimum of 2 years of relevant experience in coordination and communications with multiple internal and external audiences (with a masterโ€™s degree), or four years (with a bachelorโ€™s degree), is required.

Required skills ย ย ย ย ย ย 

Experience in supporting senior management in a fast-paced work environment is required. Proven ability to meet tight deadlines without compromising the quality of work is required.

Desired skills in addition to the competencies covered in the Competencies section

Working experience in UN or other international organization, and basic knowledge of UNDP policies, procedures and practices is an asset.ย  Experience in Front Office or similar functions or and rhythm is highly desiderable.ย  Demonstrable experience working in research, analysis and knowledge management is highly desirable. Experience at international level and with developing or developed countries is desirable. Proven track record of solid understanding of, and interest in, the SDGs and Agenda 2030 is desired.ย 

Required Language(s)ย 

Fluency in English, with excellent writing, presentation and communication skills is required.ย  Working proficiency in any other UN language is an asset.
