The Communications Department (COM) is the IMFโs center for strategic communication. It develops and coordinates the Fundโs external and internal communications strategy, shapes key messages, and advises Management and staff on how best to convey those messages. The Department also monitors and responds to what is being said and written about the institution, both inside and outside the Fund.
The Internal Communications Division of COM is responsible for developing and implementing internal communications strategies aimed at keeping staff informed about important institutional policies and workplace-related developments, while promoting a sense of community within the Fund. The Division handles communication between Management and staff; works closely with other departments in coordinating internal communications activities and messages, including organizing high-level events; and manages the IMF Intranet homepage and the Intranet News articles and videos hosted there.
COMIN seeks an experienced Event Manager/Event Producer to optimize the coordination and management of internal events. The appointed individual will be responsible for planning, organizing, and executing selected high-profile, Fundwide events, as well as offering expert guidance and implementing industry best practices to enhance workflow processes and advance digital systems integration.
Working closely with the Internal Communications division chief, the hired professional will undertake the following responsibilities:
Event Planning and Governance: Develop institutional guidelines for planning and organizing events, including high-level events; departmental events; clubs and communitiesโ events; among others. Guidelines should include timelines, format, venue selection, protocols for high-level speakers, internal promotion, and resource allocation. In addition, help staff in the department adopt the guidelines via training and workshops.
Partnership: establish strong collaboration with the Audiovisual, Hospitality, and Facilities teams in the Corporate Services and Facilities Department (CSF), and other COM divisions and departments, to improve the event management processes.
Marketing and Promotion: Develop and implement internal marketing plans or standards to promote events and attract attendees using institutional digital platforms.
Event Execution: Manage the execution of selected high-level events, ensuring all elements are delivered smoothly and professionally.
Post-Event Analysis: Conduct post-event evaluations, including analyzing feedback and outcomes to improve future events.
Qualifications:
Education: An advanced university degree, or equivalent, in communications, marketing, production, event management, or a related field, supplemented by a minimum of four (4) years of relevant professional work experience in event management or production, with a focus on high-level events. Alternatively, a university degree, or equivalent, and ten (10) years of relevant professional experience are required.
Project Management Skills: Strong project management skills, including the ability to manage multiple events simultaneously. Excellent organizational and planning ability, with strong drive for results.
Communication Skills: Outstanding verbal and written communication skills, with the ability to engage effectively with diverse stakeholders.
Problem-Solving Skills: Ability to anticipate and resolve issues promptly and effectively.
Innovation and Creativity: Strong track-record in developing and implementing innovative approaches to internal engagement and event production.
Partnership: Ability to build trust across different stakeholders, including Management, managers, and staff more broadly, with excellent judgement on often-complex issues, and collaborative working style.
IMF understanding: Knowledge of the Fundโs work and operations and excellent analytical skills is an asset.
Deliverables
The professional will be expected to deliver the following:
Assessment: review the current workflow processes for Fundwide high-level event planning and provide some recommendations for the Calendar of Events (CoE) platform and the upcoming Events Management System (EMS) project.
Institutional Guidelines: Detailed guidebook and manual for event planning and production, including protocols and internal marketing.
Training: Identify key topics for key event organizers and deliver a couple of training sessions.
Execution: organize and implement selected high-level internal and external events
Impact: Post-event reports and evaluations of events under direct responsibility, and some guidelines on how to measure impact and engagement.
This is a one-year contractual appointment. Contractual appointments at the IMF are renewable for up to four years of cumulative contractual service, pending incumbent's performance, budget availability, and continuous business need.
