The Programme Support Unit (PSU) plays a central and critical role in strengthening the overall effectiveness and coordination of IOM Djiboutiโs operations.ย
Under the leadership of the PSU Unit Head, PSU directly contributes to the integration of IOM Djibouti's programmatic and policy efforts with global and regional strategies, ensuring alignment, consistency, and synergy across the mission.
The unitโs function goes beyond simple administrative support; it is a strategic enabler for project managers, helping them navigate the complexities of project development, implementation, monitoring, and evaluation. PSU facilitates data sharing, coordination, and collaboration among departments, ensuring that all stakeholders are well-informed, engaged, and aligned. By identifying emerging trends, risks, and opportunities, PSU helps ensure that IOM Djiboutiโs operations are both responsive and adaptive in an ever-evolving migration context.
Moreover, PSU promotes a culture of learning, continuous improvement, and innovation, actively contributing to building IOM Djiboutiโs capacity to achieve its strategic objectives and deliver high-impact projects. The unitโs comprehensive support ensures that project teams are equipped with the tools and information they need to succeed and make informed decisions.
To strengthen this capacity and respond to the growing workload, the Mission seeks to recruit an Intern. This intern will support the PSU in administrative, communication, and logistical functions, contributing to smooth operations and high-quality programme delivery in Djiboutiโs dynamic context.
SUPERVISION
Under the overall supervision of the Chief of Mission and the Head of Programmes and direct supervision of the National Policy & Liaison Officer, the Intern will assist in will assist with the operational activities of the Mission.
- Draft, format, and proofread official correspondence (letters, emails, briefing notes) addressed to ministries, embassies, donors, and partners.ย
- Maintain organized filing systems (physical & electronic) for correspondence, reports, and schedules. Track action items and ensure timely follow-up.
- Draft and adapt communications for the Chief of Mission, including meeting notes, preparation briefs, and talking points for high-level engagements.
- Assist in preparing agendas, minutes, and followโup notes for PSU and Mission meetings.
- Support development of PowerPoint presentations, fact sheets, and other visibility tools for internal and external audiences.
- Contribute to drafting program documents, donor reports, project proposals, and briefing materials in compliance with IOM frameworks.
- Support the research on funding opportunities; draft donor profiles and support donor liaison efforts.
- Support logistics for donor or partner visits, workshops, and meetings: prepare agendas, coordinate invites, organize meeting venues, and prepare briefing packs and itineraries.
- Update and maintain program databases, correspondence logs, and shared repositories (e.g. SharePoint, PRIMA).
- Support preparation of summaries, newsletters, press releases, and other communications to enhance IOM visibility in Djibouti.
- Provide general administrative assistance to the Chief of Mission: manage travel arrangements, calendar scheduling, protocol coordination, and document tracking.

TRAINING COMPONENTS AND LEARNING ELEMENTS
The Intern will gain experience in working in an international multicultural environment, within the United Nations system.
- Gain experience in organization, management, and international cooperation activities.
- Gain a better understanding of IOMโs work, as an inter-governmental organization in the field of Migration, and work on formulating and editing institutional strategies, priorities and workplans.
- The Intern can also access online training courses at the disposal of all IOM staff.

- Enrolled in the final year of a Bachelor's degree (or equivalent) in International Relations, Business Administration, Communications, Project Management, or related fields
- Or enrolled in a Masterโs program in similar disciplines
- Or graduated from a Bachelor's/Masterโs degree within the last 12 months prior to the internship start dateย ย Experience
- Prior internship or experience in administrative support, communications, or programme management in an international, governmental, or NGO context is preferred
- Familiarity with drafting official correspondences, maintaining filing systems, supporting event logistics, or contributing to programme documentation is an advantage ย Skills
- Excellent writing and formatting skills in both English and French
- Strong proficiency in MS Office (Word, PowerPoint, Excel, Outlook); familiarity with SharePoint, Canva or similar tools preferredย
- Strong organizational and interpersonal abilities, attention to detail, and discretion in handling sensitive information ย Languages
