The Executive Assistant will report to the Special Advisor and work closely with Chairโs team at the Open Society Foundations (based globally). They will also travel with the chair.
Key responsibilities
Extensive diary management across multiple time zones
Coordinate complex travel arrangements, including obtaining visas, booking flights and transfers, and preparing travel documents
Scout venues for board meetings
Coordinate board communications.
Inbox management (via Apple and Microsoft devices)
Managing, monitoring, and drafting emails and correspondence
Overseeing private events and hosted meals in their entirety
Collaborate with colleagues to ensure coordination across teams
Excellent interpersonal, listening and communication skills with sensitivity to cultural communication differences
Collaborative mindset regarding partnering with colleagues to ensure the highest quality of support and coordination
The ideal candidate (essential criteria)
At least 4 years of experience in administrative support; preferably at least 4 years as a dedicated executive assistant within a fast paced environment (must have evidence of dealing with high profile individuals, senior dignitaries, HNWIs)
Ability to work in a flexible, dynamic, and highly collaborative team
Strong attention to detail, ability to handle multiple tasks at once with a high degree of autonomy and self-motivation, adaptable to last-minute changes and urgent demands
Good judgment, decision-making ability, and discretion, especially regarding the handling of sensitive and confidential information
Able to anticipate needs and proactively troubleshoot and support all aspects of the Principalโs daily work
Excellent written, verbal, organizational, and analytical skills
Excellent interpersonal, listening and communication skills with sensitivity to cultural communication differences

The salary range for this role in the US is $101,846 - $123,233 (USD). The final offer is influenced by a wide array of factors including but not limited to skill set and level of experience.
