The successful candidate will be responsible for managing the diverse workflow of MCM's Macrofinancial Surveillance and Review division. In accordance with the job standards, he/she will work under the general supervision of the Division Chief/Deputy Division Chiefs as well as other members in the division.
Responsibilities
Lead daily administrative operations, managing scheduling, task prioritization, and workflow tracking in close collaboration with division managers, coordinators, and staff to ensure seamless task execution of cross-team alignment.
Interpret and apply a wide range of Fund policies and procedures, providing guidance to staff and recommending process enhancements to improve administrative efficiency and operational effectiveness.
Ensure the timely and high-quality preparation of complex document production, including FSAP documents, working papers, technical assistance reports.
Maintain and update MCMโs country responsibilities list and staffing information in excel and Power BI, and Workday (in collaboration with the HR team).
Maintain MCMโs guidelines for Review and Article IV Mission Participation and train MCM coordinators on related procedures and best practices.
Organize and manage the divisionโs review process by assigning action items and tracking progress to meet tight deadlines.
Coordinate divisional, departmental, and Fund-wide events, including seminars, annual workshops, conferences, and team-building activities; monitor related expenses and manage the team-building budget.
Manage end-to-end onboarding logistics for new staff, including office setup, access provisioning, distribution of welcome materials, and coordination of introductory meetings and email communication to ensure smooth integration of new staff.
Supervise a junior administrative coordinator, offering regular coaching, feedback and professional development support.
Participate in Fund-wide administrative committees and working groups, including those focused on technology and systems improvements.
Be available to work occasional overtime, sometimes on short notice.
Qualifications
High school diploma or equivalent, supplemented by a minimum of six (6) years of relevant experience. External candidates must have at least two (2) of those years in a lead role.
Proven ability to work independently, exercise sound judgment, and manage multiple priorities with minimal supervision.
Advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint), Nexus document management, and other relevant technologies.
Strong oral and written communication skills.
Excellent organizational and secretarial skills, with deep knowledge of Fund administrative policies and practices.
Demonstrated interpersonal skills, tact, discretion, and a collaborative team spirit.
A regular staff member who is selected to fill the vacancy will maintain their open-ended status. If the selected candidate is a contractual employee, they will be offered a Term staff appointment. Staff members already on a term appointment will continue their current term but may receive an extension provided that their current term appointment has not already been extended.
