OVERVIEW OF THE FUNCTIONS OF THE POST

Under the overall authority of the Director of the UNESCO Office for the Caribbean and the direct supervision of the Administrative Officer, the contract holder shall perform the following duties:

1. Manage the dispatch of the mails and other documents including those to be sent via the Diplomatic Pouch and other courier service providers;

2. Maintain a current filing system for correspondence and courier received by the Office upon being dated and handed over by the person at the reception desk;

3. Assist the Administrative unit in responding to job application correspondence and filing candidate submissions or any other relevant correspondence;

4. Prepare and follow-up GCT returns;

5. Assist in the creation of Administrative unit contracts and other written/typed material;

6. Follow-up on scheduling the use of the conference room for meetings;

7. Assist the administration with duties including preparation of payments of Office utilities, recurring monthly payments and payments under the responsibility of administration;

8. Follow up with supplies for monthly bills not received;

9. Manage the Office supplies, such as drinking water and kitchen supplies and ensure that quantities are at adequate / optimal levels;

10. Ensure proper maintenance of the Office premises and related security matters; log and follow up with maintenance issues such as room temperature, leaks, electrical matters, etc. and log these service requests as needed and interventions;

11. Provide hospitability services for meeting held at the Office and organize Office get togethers;

12. Perform any other duties as may be required by the Director or the Supervisor.

REQUIRED QUALIFICATIONS

Education

  • High school diploma or equivalent certificate.

    Work Experience

    • Minimum 2 years' work experience in the field of administration.
    • Proven record of working well within a team.
    • Proven record of excellent communication skills.

      Language

      • Excellent knowledge of English.

        DESIRABLE QUALIFICATIONS

        • Ability to accommodate and work well in a multi-cultural environment.
