About the positionu202Fย 

The main objective is to support the administrative assistant team within the Lever 3 Global Support Team (L3GST). Additionally, assist with administrative and logistics tasks, collaborating closely with the center's supporting offices and the Alliance Bioversity-CIAT.ย ย ย ย 

The position will be based in the operations center of the Americas, located in the Campus of Palmira, Colombia.ย

Responsibilitiesu202Fย 

  • Provide support in managing administrative and logistical procedures for specific project units that administer funds through the Alliance Bioversity-CIAT.ย 
  • Facilitate travel-related tasks, including arranging flight options, ticketing, trip monitoring (ensuring timely departures/arrivals, processing advances, securing insurance, visas, and attending to urgent matters), as well as overseeing the legalization and reimbursement of expenses.ย 
  • Bring support in processing expense reimbursements by managing invoices, securing payment authorizations, and overseeing collection accounts.ย 
  • Support analysts in fulfilling procurement requests, such as acquiring office supplies, event materials, business cards, and more.ย 
  • Collaborate with analysts to provide necessary information for the planning, execution, and monitoring of travel budgets, events, services, and contracts for project units.ย ย 
  • Assist in the collection and correct registration in SharePoint of required documentation requested by the analyst regarding the donor rules concerning the use of funds for services, trips, events, and consultancies.ย 
  • Assist with general tasks and requirements within the department.ย 

    Requirements

    Qualifications and requirementsย 

    • Technical/technological or bachelor's degree (recently graduated) in Business Administration, Finance, Accounting, or related fields.ย 
    • Experience in procedures, administrative support, and attending public.ย 
    • Experience in similar positions.ย 
    • Advanced skills in Excel.ย 
    • Intermediate level of English (oral, writing, and comprehension skills).ย
