Under the overall guidance of the ACD, the Programme Clerk provides programme support services ensuring high quality of work, ensures accurate, timely and properly recorded/documented service delivery.

    

The Programme Clerk works in close collaboration with the Management Support and Business Development, Operations, Programme and project staff in the CO and UNDP HQ as required to exchange information and support programme delivery.

 

  • Support to formulation of programme strategies and the Country Programme Action Plan
  • Support to management of the CO programme
  • Administrative support to the Programme Unit
  • Support to resource mobilization
  • Support to knowledge building and knowledge sharing
  • Collection, analysis and presentation of information for identification of support areas, and programme formulation/ implementation. 
  • Quality improvement of programme and project documentation. 
  • Creation of projects in Atlas, preparation of budget revisions, revision of project award and project status, determination of unutilized funds, operational and financial closure of a project.
  • Presentation of information for audit of NIM projects.

 

  • Create vendors for the programme area, if required.
  • Maintain and update the events and activities related to the project’s cycle. 
  • Maintain and coordinate the unit’s agenda, missions and events.
  • Coordinate and distribute documents related to programme and projects.
  • Coordinate and update programme files.
  • Revise and dispatch official correspondence
  • Consolidate information of programme performance and records. 

 

  • Review of contributions agreement, managing contributions in Atlas.

 

  • Participation in the trainings for the operations/ projects staff on programme.
  • Contributions to knowledge networks and communities of practice.

  • Edits, formats and provides inputs to correspondence, reports, documents and/or presentations using work processing, spreadsheets and databases meeting quality standards and requiring minimal correction

Education

Secondary education. 

Experience 

  • 4 years of relevant administrative experience.
  • Alternatively, 1 year of relevant experience will suffice if in possession of a Bachelor’s Degree.
  • Experience in the usage of computers and office software packages (MS Word, Excel, etc.). Experience in handling of web-based management systems.

Language Requirement 

  • Fluency in the UN and national language of the duty station.
