1. Organizational Context

a.Organizational Setting

The post is located in the Madrid Registry, Brands and Designs Sector. The Madrid Registry is composed of four divisions, Information and Promotion, Information Systems, Legal and Operations.

b.Purpose Statement

The incumbent's role is to drive a culture of continuous improvement within the Registry by coordinating the various improvement initiatives across the Madrid Divisions and other WIPO Sectors, managing specific projects and supporting the Senior Director with strategic planning and implementation.

c.Reporting Lines

The incumbent works under the supervision of the Senior Director, Madrid Registry.

2. Duties and Responsibilities

The incumbent will perform the following principal duties:

a. Support the Senior Director in the elaboration of strategic plans, resource requirements and assessing Registry's performance. Conduct research and data analysis to inform business decisions.

b. Design, plan and implement projects aiming at the improvement, procedural enhancements and development of the Registry's processes and outputs. Identify and analyze opportunities for improving the quality and efficiency of the work performed by the Registry, including the introduction of new technologies and formulate recommendations in this regard.

c. Provide support to the planned new Madrid IT Platform.

d. Manage and maintain the improvement register of the Madrid Registry, coordinate the planning of the various improvement project across the Registry's divisions and monitor, track and report on the progress of the improvement projects.

e. Coordinate the documentation and sharing of working processes and procedures of the Registry; establish Standard Operating Procedures where appropriate; prepare periodic reports and summaries on the performance of the Registry.

f. Support the coordination of work with Madrid Contracting Parties to improve the efficiency of the operational processes between the Registry and the Parties concerned.

g. Provide routine guidance to managers on work organization and planning, and communications with staff.

h. Liaise and coordinate with all units and Divisions of the Madrid Registry and other Sectors in the Organization, in the execution of the above tasks.

i. Perform other related duties as required.

3. Requirements

Education

Essential

Advanced university degree in engineering, business administration or other relevant discipline. A first-level university degree plus an additional two years of relevant professional experience in addition to the essential experience mentioned below may be accepted in lieu of the advanced university degree.

Project management certification, e.g. PMP, PRINCE2 or Agile.

Experience

Essential

At least seven years of professional work experience with emphasis on project management, business strategy, business development and process improvement.

Exposure to the management of international intellectual property protection systems, in particular with regard to their operational aspects.

Language

Essential

Excellent written and spoken knowledge of English.

Desirable

Knowledge of French or Spanish, or of other UN official languages, or of the language of a major user country.

5. Information

Mobility:WIPO staff members are international civil servants subject to the authority of the Director General and may be assigned to any activities, office or duty station of the Organization. Accordingly, the selected candidate may be required to move from time to time to new functions and/or to another duty station.

Annual salary:

Total annual salary consists of a net annual salary (net of taxes and before medical insurance and pension fund deductions) in US dollars and a post adjustment. The post adjustment (cost of living allowance) is variable and subject to change without notice in accordance with the rates as set within the UN Common System for salaries and allowances. The figures quoted below are based on the February 2019rate of 67.7%
