The Government of the Republic of the Philippines (GPH), through the Office of the Presidential Adviser on the Peace Process (OPAPP), has partnered with the United Nations Development Programme (UNDP) to implement a project entitled "Support to Peacebuilding and Normalization" (SPAN). SPAN aims to contribute towards sustaining the gains of the Government's peace process, and in ensuring peace and security in conflict-affected areas by (a) accelerating the implementation of the security and socio-economic aspects of the Normalization Annex of the GPI+Moro Islamic Liberation Front (MILF) Comprehensive Agreement on the Bangsamoro (CAB) and (b) strengthening the enabling environment for peace, recovery and development.

SPAN is composed of four (4) components: (1) Component 1: Support to the Implementation of the Security Aspect of Normalization, (2) Component 2: Support to the Implementation of the Socio-Economic Aspect of Normalization, (3) Component 3: Strengthening the Enabling Environment for Peace, Recovery and Development, and (4) Component 4: Social Healing and Peacebuilding Programme for Marawi.

Given the increasing volume of activities simultaneously happening with all the four (4) components, the project will require the support of three (3) Administrative and Logistics Assistant to be based in Manila (2) and Cotabato (1).

Under the overall guidance of the SPAN Project Manager and direct supervision of concerned Project Officer/s, the Administrative and Logistics Assistant will provide overall support to the SPAN team and project operations in relation to its administrative requirements.

Specific functions:

  • Assist in the procurement of supplies, goods and services.
  • Prepare a monthly inventory and list of office supplies and other goods to be canvassed/purchase and facilitate issuance of POs by Finance and its timely delivery.
  • Assist in ensuring that required procurement and finance documents of project staff are submitted on time and in order.
  • Assist the project staff in ensuring that request for travels are in accordance with UNDP guidelines and in following-up and finalizing travel arrangements of personnel and activity participants.
  • Coordinate with hired vehicles for project activities as to itineraries and other arrangements.
  • Assist in preparing required forms and documents for payments and reimbursements including reviewing its accuracy.
  • Assist the project staff in liquidations of cash advances and reviewing related documents
  • Canvass hotels and venues as required in the approved Activity Designs and ensure that requirements in the Events Checklist are complied with.

Education:

A university degree in business administration, accounting, finance or other relevant field

Experience:

  • At least 3 years of relevant experience in administration or programme support service.
  • Proficient in the use of computers and office softwares (MS Word, Excel etc.)

UN/UNDP experience an advantage

Language Requirements:

Proficiency in English and Filipino (knowledgeable of regional languages in Mindanao an advantage)
