Result of ServiceEvaluation and recommendation of stakeholder organizations for events supported by NGLS; review and processing of all registrants for events supported by NGLS; ongoing, clear and concise communication with clients; data reporting on applications received and pre-identified categories within each event and across events; daily reporting on status of work, identifying obstacles, providing feedback on applications reviewed. Support to outreach and communications efforts related to events and activities of NGLS. Successful support to High-level Meetings and Summits during the period. Work Locationhybrid Expected duration3 months with the possibility of extension Duties and ResponsibilitiesThis contractor position is located within the team that manages the Civil Society Unit in the NGO Relations, Advocacy and Special Events Section, Outreach Division, Department of Global Communications. The position is located in the Non-governmental Liaison Service within the Civil Society Unit. The position will support stakeholder engagement in high-level meetings and summits of the United Nations. The responsibilities include but not limited to: · Assists in the coordination of programme/project planning and preparation work for, typically, civil society, private sector and other relevant stakeholders in accreditation processes to engage meaningfully in UN High-level meetings and conferences. monitors status of programme/project proposals and receipt of relevant documentation for review and approval. Collects and reviews data and supporting documentation associated with applications from stakeholders to participate in events supported by NGLS. Corresponds with clients regarding applications and supporting materials. · Compiles, summarizes, and presents basic information/data on specific programmes/projects related to stakeholder engagement in UN meetings and related topics or issues. · Reviews project documents, especially cost plans/budgets, for completeness and compliance with relevant rules and procedures prior to submission for final approval and signature; identifies inconsistencies; distributes project documents to relevant parties upon approval. · Compiles, summarizes and enters data on project delivery; drafts sub-pages of NGLS Annual Report and related status reports, identifying opportunities, shortfalls in delivery, budget overruns, etc., and brings to the attention of management. · Drafts correspondence and prepares and updates periodic reports, briefing notes, graphic and statistical summaries, accounting spreadsheets, etc. · Provides general office assistance; responds to complex information requests and inquiries; reviews, logs and routes incoming correspondence; sets up and maintains files/records; organizes meetings, workshops; handles routine administrative tasks, such as maintaining attendance records, assessing telephone billing, etc. Qualifications/special skillsExperience working with civil society Experience working with Indico Experience with data collection and analysis Experience working with clients Experience with MS Office 365 LanguagesEnglish and French are the working languages of the United Nations Secretariat.
