Role Summary The Business Development and Partnerships Operations Manager will provide direct support to the Senior Vice-President Business Development and Partnerships (SVP BD&P) to strengthen global strategic partnerships and drive revenue generation from institutional donors, corporations and tier one foundations as well as support for a global proposal design hub. The Operations Manager will have a deep understanding of the Business Development and Partnership (BD&P) operations and support the entire department. The Operations Manager will work closely with other department staff in the DC office to support their operational and logistic requirements within the office. And in conjunction with the BD&P team, integrate with the global business development teams across Asia, Americas (including USA) and Africa. This position will report to the Senior Vice-President Business Development and Partnerships. This position is the go-to person to trouble shoot and problem solve any operational issues that arise within the DC office and the BD&P team. This position works to address immediate needs as they arise and support development and maintenance of long-term processes and systems. Support Senior Vice President in communications development of BD&P communication content, messages and presentations; responses to written, oral and electronic inquiries; screened and prioritized correspondence, reports, presentations and other information for internal and external use Administrative support to Senior Vice President including contract management, meeting and travel arrangements including support in processing of expense reports Proactively manage an accurate calendar for the Senior Vice President, including online scheduling of internal and external, domestic and international appointments/meetings and travel schedule. Source and contract business development consultants, as necessary, manage their contracts, track invoices and overall spend for consulting services across BD&P. Improve business processes across the department through management of routine processes, including liaison with Human Resources on employee recruitment and management, legal team for contracts, IT for logistics and other relevant support, procurement for vendor recruitment, and other departments for scheduling while ensuring alignment with organizational requirements Develop and maintain procedures for the successful implementation of operations that support the departmentโ€™s priorities โ€“ on time, within scope, and on budget Manage and support analysis, efficiencies and continuous improvement of the BD&P hub budget and cost analysis Work with the BD&P hubs to ensure budget is updated to pipeline spending vs forecast monthly. Support in planning and organizing BD&P meetings and regular BD&P summits/retreats Key liaison with communications team Support Business Development Units (Institutional Donors, Corporates, Tier One Foundations and Proposal Design Hub) towards achieving revenue targets (25%) Business Development Management Research and closely understand BD&P donor and partnership strategies and processes Identify and track funding opportunities on an ongoing basis through online portals such as DevelopmentAid, Grants.gov (US), Beta.sam.gov (US), Gov.UK (UK), AidKonekt, DevEx, etc. as well as provide research and intelligence into various funding opportunities In conjunction with the BD&P team, integrate and collaborate with the global business development teams across Asia, Americas, USA and Africa Coordinate with Regional teams, Resource Development Operations, and the Senior Manager of the Proposal Design Hub to ensure accuracy in proposal development tracking system Maintain relationship management system that captures and details engagement with strategic implementing partners and donors including key contact information Facilitate opportunities for integration within the BD&P hubs and across other Heifer departments including Heifer Impact Capital, Heifer Labs and Regional teams (Africa, Americas and Asia) Support scheduling of meetings, coordinating agendas, capturing meeting minutes, and sharing outcomes with participants of monthly global and regional pipeline meetings Develop and maintain the Departmental sharing folders in collaboration with the Senior Manager of the Proposal Design Hub that will be made available to internal and external team members; provide all documents to BD&P team members upon request Manage administrative and logistics for Heiferโ€™s Washington DC office (20%) Coordinate with Managing Director, Institutional Partnerships, on office and logistics needs for all Heifer staff housed in DC office in collaboration with HQ based support staff Interface and negotiate with office vendors and manage general office supplies stock and routine logistical needs Manage day-to-day financial management of invoices, credit card statements and/or other accounts payable associated with office expenditures Maintain close relationship with office management company, when appropriate Work with Heifer facilities team to address office space requirements and issues Serve as point of contact on office related IT needs in liaison with Heiferโ€™s IT department at Headquarters in Little Rock Liaison with Human Resources (People Department) and other relevant teams on employee recruitment and management processes, ensuring alignment with organizational requirements, provide logistical support to DC new staff interviews Provide logistical and IT leadership and collaborate with staff when hosting meetings or events at office with outside stakeholders Respond to written, oral and electronic inquiries with pre-approved information about Heiferโ€™s work in general Oversee office security and ensure application of protocols Perform other job-related duties as assigned (5%) Minimum Requirements Minimum of 8 years of professional work experience, with at least five 5 years of relevant new business development and management experience. Bachelor's Degree Required. Demonstrated strong writing and oral presentation skills in English. Strong multicultural and cultural-sensitivity skills. Placement within the range will be based on the experience and competency level of the candidate.
